Part-Time Sales & Administration Assistant

Location: urbanpods Showroom, Livingston

Hours: 16 hours per week (Tuesday to Friday, 10:00am – 2:00pm)

Salary: Competitive, dependent on experience

About urbanpods

urbanpods is Scotland's leading designer and manufacturer of luxury garden rooms, home offices, wellness spaces and bespoke modular buildings. Due to continued growth, we are looking for a friendly, organised and proactive Part-Time Sales & Administration Assistant to support our sales and customer experience team.

This is an excellent opportunity for someone seeking a long-term role within a growing business. Whilst the position initially offers 16 hours per week, applicants must be willing to increase their hours over time, with the potential for the role to become full-time as the business continues to expand.

Key Responsibilities

Answer incoming telephone calls and take accurate messages and distribute to relevant team members
Liaise confidently with customers and provide a professional first impression of the business
Log customer snagging issues and send holding updates where required
Schedule and manage customer appointments and selections meetings
Confirm upcoming customer appointments
Prepare showroom welcome packs and maintain brochure stock levels
Assist with customer onboarding administration
Support the sales team with general administration and customer communications
Maintain accurate records and update internal systems

About You

The ideal candidate will:

Be confident speaking with customers both on the telephone and via email
Have excellent communication and organisational skills
Be highly reliable and able to work independently
Be proficient in Microsoft Office, including Outlook, Word and Excel
Be comfortable using computer systems and learning new software
Have strong attention to detail
Present themselves professionally and positively at all times
Be flexible and willing to increase their working hours as the company grows
