Full job description

Job Title: Practice Administrator

Location: Treflan Surgery
Salary: Minimum Wage / Depending on experience
Hours: 37.5 a week
Contract Type: Permanent

About the Role

We are seeking an organised and proactive Practice Administrator to join our busy and friendly team. This is a key role within the practice, providing administrative support to ensure the smooth and efficient running of day-to-day operations.

The successful candidate will be responsible for coordinating administrative activities, supporting staff, and helping deliver a high standard of service to patients and visitors.

Key Responsibilities

Oversee the daily administrative functions of the practice.
Manage patient records, ensuring accuracy and confidentiality in line with data protection regulations.
Handle incoming correspondence, emails, and telephone enquiries.
Support appointment scheduling and clinic coordination.
Typing letters / referrals.
GP private work, medical reports etc.
Dealing with medical record requests
Liaise with external organisations such as NHS bodies, suppliers, and service providers.
Ensure policies and procedures are up to date and followed.
Support the Practice Manager with audits, compliance, and quality improvement activities.

Person Specification

Essential Skills and Experience

Previous administrative experience, ideally in a healthcare or GP practice setting.
Excellent organisational and time-management skills.
Strong written and verbal communication skills.
Proficiency in Microsoft Office applications (Word, Excel, Outlook).
Ability to maintain confidentiality and handle sensitive information.
Attention to detail and accuracy.
Ability to work independently and as part of a team.
Welsh speaker

Desirable

Experience using clinical systems such as EMIS Web
Knowledge of NHS procedures and medical terminology.
Understanding of GDPR and information governance requirements.

Personal Qualities

Friendly, professional, and approachable.
Flexible and adaptable.
Reliable and trustworthy.
Calm under pressure and able to prioritise workload effectively.
