About Us

The Millennium Centre (St Helens) Ltd is a well-established local charity dedicated to supporting communities across the Borough of St Helens by providing high-quality facilities for charities, community organisations, businesses and public services.

Following the acquisition of the historic Mansion House in Victoria Park, we are seeking an enthusiastic and organised Business Support Officer to join our team.

This is a unique opportunity to become one of the first permanent members of staff based at Mansion House, helping to establish and support an exciting new community hub. You will play a key role in creating a welcoming environment for visitors whilst supporting the administration, finance and day-to-day operation of the building.

As Mansion House develops and occupancy increases, the role is expected to progress to a full-time position (37.5 hours per week).

The Role

This is a varied and rewarding position combining reception, administration, finance and operational support within a small, friendly team.

The successful candidate will be the first point of contact for visitors, tenants and contractors whilst also providing administrative and financial support to the Executive Chairman and management team.

The role requires someone who is organised, proactive and able to work independently using their own initiative. Excellent communication skills, attention to detail and a flexible approach are essential.

No two days are the same, making this an excellent opportunity for someone who enjoys a varied role and wants to contribute to the development of an exciting community project.

Main ResponsibilitiesReception

Welcome visitors, tenants, contractors and members of the public in a professional and friendly manner.
Provide an efficient reception service and act as the first point of contact for enquiries.
Answer and direct telephone calls and respond to email enquiries.
Manage incoming and outgoing post and deliveries.
Assist with room bookings, visitor enquiries and meeting arrangements.
Ensure reception and communal areas are welcoming, tidy and well presented.
Maintain visitor records where required.

Administration

Provide administrative support to the Executive Chairman and management team.
Prepare correspondence, reports and meeting documentation.
Take minutes at meetings where required.
Maintain accurate electronic and paper filing systems.
Coordinate meetings, appointments and room bookings.
Order office supplies and maintain stock levels.
Assist with maintaining tenancy records and operational documentation.
Support the administration of building compliance records.
Assist with updating the charity's website and social media platforms where required.

Finance

Process supplier invoices using Sage.
Assist with supplier payment runs.
Maintain accurate financial records.
Assist with bank reconciliations.
Liaise with suppliers regarding invoices and payments.
Assist with general finance administration.
Support the preparation of financial information for management when required.

Operations & Facilities

Assist in overseeing contracts for building services, maintenance and contractors.
Help monitor the performance of contractors to ensure services are delivered to the required standard.
Assist in coordinating maintenance works and contractor visits.
Support the day-to-day operation of Mansion House and ensure issues are reported promptly.
Assist with maintaining health and safety records and compliance documentation.
Help oversee the work of the domestic cleaning team, ensuring cleaning standards are maintained and any issues are reported to management.
Liaise with tenants and contractors regarding operational matters.

Community & Fundraising

Assist with organising fundraising events and community activities.
Support fundraising initiatives and donor events.
Assist in preparing promotional material and event administration.
Welcome guests attending fundraising and community events.
Support the development of Mansion House as a vibrant community and charitable hub.

General Responsibilities

Build and maintain positive relationships with tenants, visitors, volunteers, contractors and partner organisations.
Maintain confidentiality when handling sensitive information.
Work collaboratively as part of a small team.
Respond flexibly to changing priorities.
Undertake any other reasonable duties commensurate with the role.

Essential Skills & Experience

Previous administration experience.
Previous reception or customer service experience.
Previous finance or accounts administration experience.
Experience using Sage or similar accounting software.
Good knowledge of Microsoft Office (Word, Excel and Outlook).
Excellent written and verbal communication skills.
Strong organisational and time management skills.
Ability to prioritise workload and meet deadlines.
Ability to work independently and as part of a team.

Desirable Skills & Experience

Experience within the charity or voluntary sector.
Experience working in a multi-tenant office or community building.
Experience coordinating contractors or facilities services.
Experience assisting with fundraising or event management.
Experience updating websites or social media.
Knowledge of Microsoft 365.

Qualifications

GCSE or equivalent, including English and Mathematics.

Administration, Business or Finance qualifications are desirable but not essential.

HoursInitial Hours

Monday: 2:30pm – 5:00pm
Tuesday: 1:30pm – 5:00pm
Wednesday: 9:00am – 5:00pm
Thursday: 9:00am – 5:00pm
Friday: 9:00am – 5:00pm

30 hours per week.

Following the successful development and occupation of Mansion House, the role is expected to increase to 37.5 hours per week (Monday to Friday).

Please note: This role requires flexibility. Occasional additional hours, evening and weekend working may be required to support the operational needs of Mansion House, meetings, fundraising events and community activities. Where possible, reasonable notice will be given.
