Full job description

Job Summary
We are looking for an organised and proactive Administration & Fleet Coordinator to join our team on a part-time basis. This varied role combines fleet administration, office management, insurance support, travel coordination and general administrative duties.

The successful candidate will be highly organised, able to manage multiple priorities, and confident communicating with colleagues, suppliers, insurers and external contractors.

A full UK driving licence is essential as the role will involve managing company vehicles and occasional travel between sites.

Responsibilities

Fleet & Insurance Administration

Maintain the Motor Insurance Portal and liaise with insurance brokers to ensure all vehicle changes, including short-term hire vehicles, are accurately recorded.

Administration & Office Support

Support the Company Secretary with insurance administration and claims across motor fleet, engineering and travel Insurance policies.
Assist with ad hoc research, reporting and legal administration projects.
Manage reception and meeting room bookings, ensuring facilities are maintained and refreshments are arranged for Head Office meetings.
Manage the cleaning contract and conduct regular cleaning inspections across company sites.
Monitor shared company mailboxes and respond to or distribute enquiries appropriately.
Arrange corporate travel, including accommodation, flights, ferries and transport logistics.
Order stationery and office consumables.
Check invoices relating to administrative purchases and reconcile departmental credit card statements.
Complete DVLA driving licence checks for company car and car allowance drivers and maintain insurance records.
Manage company pool cars, hire vehicles and end-of-lease vehicles, ensuring they remain roadworthy and compliant.
Arrange vehicle servicing, repairs, MOTs and cleaning as required.
Coordinate vehicle bookings for employees.
Liaise with drivers, insurance providers, parking authorities and other relevant stakeholders regarding fines, incidents and vehicle-related matters.
Arrange the installation of POD Point and home EV charging units.
Manage motor fleet insurance claims from initial notification through to resolution.

Qualifications

Previous experience in an administrative, office management or fleet administration role.
Excellent organisational and time management skills.
Strong attention to detail and accuracy.
Good communication and interpersonal skills.
Confidence using Microsoft Office applications, particularly Outlook, Excel and Word.
The ability to work independently and manage a varied workload.
Experience dealing with suppliers, insurers or vehicle fleet administration would be advantageous.

Pay: £13.00-£14.00 per hour
