Personal Assistant to Director

The Director of a successful, award-winning property lettings and development company is seeking an additional experienced Personal Assistant to provide high-level administrative and operational support within a busy and growing business.
This is an excellent opportunity for an organised, proactive individual who enjoys working in a dynamic property environment and can take responsibility for a wide range of tasks while supporting the Director in day-to-day business operations.
Salary & Benefits
Salary: Negotiable depending on experience.
For the right candidate, the overall package is expected to equate to approximately £14.50 per hour, based on work experience and evidence of successfully taking responsibility in previous roles.
Annual Salary Review:
Reviewed annually in line with nationally published information.
Working Days:
Projected full working days To Be Agreed (2 / 3 Days per week) are Monday’s, Tuesday’s, Wednesday’s or Thursday’s.
There may be some flexibility in working hours, and subject to mutual agreement additional hours may become available, particularly during the initial period.
Holiday Entitlement:
Calculated in accordance with UK Government holiday entitlement web site --Working 3 days per week 17 days --Working 2 days per week 11½ days-- .
Parking:
Good public parking is available directly opposite the office, as well as in the surrounding area.

About the Company
Over the past 24 years, Diwan Properties Ltd has grown into a well-established and successful property management and lettings business.
In addition to managing a substantial portfolio of rental properties, the company has an expanding property procurement and development division, acquiring properties for refurbishment, conversion, and redevelopment. These projects result either in additional rental properties or properties being sold following improvement works in order to maximise the value and potential of each property.
The Role
The successful applicant will work closely with the Director and will eventually take on a high level of responsibility and autonomy within the business.
The role involves a mix of administrative, organisational, and property-related tasks, requiring someone who is efficient, proactive, and comfortable managing multiple priorities.
Key Responsibilities
- Supporting the Director with day-to-day business administration
- Preparing and maintaining spreadsheets, reports, and financial records
- Assisting with invoices and financial documentation
- Maintaining accurate internal records for submission to the company accountants
- Following up with clients, contractors, and suppliers to ensure responses and deadlines are met
- Managing communications with tenants, clients, and professional contacts
- Supporting property management and development activities where required
- Using digital management systems and software to organise information, documentation, and operational tasks
Candidate Requirements
The ideal candidate will have:
- Several years’ experience as a Personal Assistant, Executive Assistant, or senior administrative role –with experience of introducing change or adapting systems and working practices to improve business performance
- Experience within the property lettings or property management sector (preferred but not essential)
- Experience of using Microsoft Excel and ideally some experience of using Powerpoint and Zero -- Willingness to familiarise themselves with Landlord Vision and any accounting software packages that are introduced by the company
- Strong client communication skills, both written and verbal
- A Team Player –with proven ability to take initiative and work independently
- Experience working in client-facing business environments where organisation and professionalism are essential
- Excellent organisational and time-management skills
- Strong attention to detail
- Technical & Digital Skills
Applicants must be confident using digital systems and management software, including:
- Spreadsheet preparation and analysis (e.g. Excel or similar)
- Digital record keeping and document management
- Property management or CRM software (or the ability to learn quickly)
- Invoice preparation and tracking
- General office software and cloud-based systems
