Full job description

We are currently seeking a detail-oriented and highly organised Coordinator to join our Maintenance Team based at our office in Over, Cambridgeshire.

The successful candidate will play a key role in supporting the day-to-day operations of the department, handling a variety of administrative tasks, managing enquiries, and ensuring internal systems are maintained effectively. This is an excellent opportunity for someone who thrives in a fast-paced environment and is committed to delivering outstanding customer service.

This role is 41.5 hours per week; Monday – Thursday 08:00–17:00, Fridays 08:00–16:00.

Main Responsibilities will include:

Deliver excellent customer service, handling all enquiries courteously and efficiently
Answer incoming telephone calls, demonstrating a professional and confident telephone manner
Manage the department inbox, ensuring all communications are responded to in a timely manner
Log and assign client enquiries to the appropriate team members
Set up and update job enquiries within the CRM system (Simpro), ensuring all information is accurate and up to date
Maintain and update internal systems and portals
Assist with clerical duties, including scheduling appointments and managing calendars
Maintain and regularly audit the supplier and subcontractor database, ensuring all records and compliance documentation are current
Provide and support the wider team with general administrative support, including filing, scanning, and document management

To be considered for this position, you must have:

Proven experience in a coordinator/administrative role
Ability to work both independently and collaboratively within a team
Strong multitasking skills with the ability to prioritise and meet deadlines in a fast-paced environment
Excellent organisational skills with a high level of attention to detail
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint)
Experience using CRM systems (experience with Simpro would be highly advantageous)
Previous experience within a construction, maintenance, or property environment would be beneficial
Strong verbal and written communication skills
Ability to handle sensitive information with discretion and confidentiality
