Full job description

Overview
We are seeking a highly organised and detail-oriented Administrative Assistant to join our team. This role requires a proactive individual with excellent communication skills and proficiency in various office software. The successful candidate will provide vital support to ensure the smooth operation of daily administrative functions, contributing to the overall efficiency of our organisation.

Responsibilities

Manage and maintain filing systems, both electronic and physical, ensuring easy retrieval of documents
Handle incoming calls with professionalism and courtesy, directing enquiries appropriately
Prepare and edit correspondence, reports, and presentations using Microsoft Office and Google Workspace tools
Perform data entry tasks accurately, maintaining up-to-date records in QuickBooks and other relevant databases
Schedule appointments, meetings, and coordinate calendars for team members
Assist in organising company events, meetings, and travel arrangements as needed
Support accounting activities by processing invoices and tracking expenses using QuickBooks
Provide general administrative support including photocopying, scanning, and ordering office supplies

Requirements

Proven office experience or administrative background demonstrating organisational skills and attention to detail
Strong computer skills with proficiency in Microsoft Office (Word, Excel, PowerPoint) and Google Workspace (Gmail, Calendar, Drive)
Experience with QuickBooks or similar accounting software is desirable
Excellent typing skills with high accuracy for data entry tasks
Good phone etiquette with the ability to communicate clearly and professionally
Organised approach to work with the ability to prioritise tasks effectively
Clerical experience including filing, scheduling, and correspondence management
Ability to work independently as well as part of a team in a fast-paced environment
