Full job description

Building a sustainable tomorrow

BAM UK & Ireland are recruiting a Facilities Administrator to join our FM Segment of the business and provide administrative support to the Facilities Manager based at Derbyshire Police Headquarters. Working 37.5 Hours per week. Times to be agreed. The successful applicant will also be required to undertake Police vetting with outcome confirmed before commencement start date.

Making Possible

The PFI Administrator provides vital support to the Facilities Management team within the FM office, acting as the primary point of contact for incoming queries from clients via telephone, email and direct contact with the FM office.
First point of contact for all visitors/reception duties/sub-contractors and deliveries.
Liaise with sub-contractors to arrange attendance, chase for RAMs, reports and quotes to complete tasks. Assist with acquiring Lifecycle and ANC quotes. Generate weekly outstanding task reports for the site management.
Ensure that all sub-contractor have the required vetting inc Review, update and chase contractor vetting information
Daily monitoring of outstanding tasks both reactive (both self-reports and client requests) & PPM tasks to ensure SLA compliance.
Liaise with the helpdesk and support in managing any queries, ensuring that service sheets/reports and quotes are recorded, retained and filed correctly i.e. electronic and hard copy.
Ensuring that all purchase orders are raised maintaining a database of all FM correspondence. Review outstanding PO’s for previous service years and chase for updates and complete.
Assist with invoice and order processing (GRN), ensuring accuracy and timely handling inc Basware management.
Collation of contract performance and financial monthly reports.
Compile and collate audit information as required
Booking of meeting rooms/conference rooms and catering. Attending meetings, preparing minutes and chasing up action points assigned to facilities department.
Processes any new or expired SEQ details for contractors supporting the contractors with their application where possible.
General admin support/duties working with other members of the FM team in the best interests of the company.
Supporting the contract to collate all relevant information in relation the contract hand back
Supporting general BAM initiatives, Sustainability champion, Mental Health first aider, Sports & Social member etc.
