Full job description

Job Summary
The receptionist/admin assistant is part of the overall support Team and will have some contact on a day to day basis with residents and their relatives and friends. The receptionist must be an experienced mature and reliable person who is fully competent in all aspects of general office administration and comfortable in dealing with people from all backgrounds.

Duties

Provide an efficient and effective office administration service by greeting visitors, answering the telephone, taking messages, filing and scanning documents.
Manage and conduct show rounds for potential residents and family members
Manage incoming and outgoing correspondence, including emails, letters, and packages
Actively follow-up potential admission enquiries
Accurate recording and reporting of client and employee information.
Assist with payroll administration
Assist with data entry tasks using programmes such as Microsoft Office
Experience working in a busy reception.
Schedule appointments, meetings, and manage calendars efficiently
Support the Home Manager with general administration, including contracts and HR queries
Ensure the organisation’s records are accurate and up-to-date at all times

Qualifications

Previous office or administrative experience is essential - Care Home administration experience would be an advantage
Proficient computer skills including Microsoft Office (Word, Excel, PowerPoint)
Strong organisational skills with the ability to prioritise tasks effectively and adhere to deadlines
Excellent typing speed and data entry accuracy
Good communication skills with professional phone etiquette
Ability to work independently and as part of a team
Attention to detail and high level of organisation are essential qualities for success in this role as is the ability to operate in a vibrant and often busy thoroughfare
