At Leicester MediSpa, we're offering an exciting opportunity to join our medically led aesthetic and wellness clinic in the heart of Oadby, Leicester.

Our state-of-the-art clinic combines evidence-based medical aesthetics with a holistic approach to health and wellbeing. With six clinical treatment rooms, a minor operative suite, private GP services, and innovative wellness facilities including a full-spectrum infrared sauna and cryotherapy chamber, we provide advanced treatments under one roof in a premium clinical environment.

We are looking for an enthusiastic, motivated and professional Part-Time Front of House / Patient Coordinator to become the welcoming face of our growing clinic. This is an exciting opportunity for someone with excellent customer service and organisational skills who is passionate about delivering an exceptional patient experience while helping to drive the business forward.

About the Role

As our Patient Coordinator, you will be responsible for the smooth day-to-day running of the clinic's front of house and administrative functions. You will be the first point of contact for patients, ensuring every interaction reflects the high standards and ethos of Leicester MediSpa.

Your role will involve managing appointments, responding to enquiries, maintaining accurate patient records, supporting practitioners, and helping maximise patient bookings and treatment referrals.

Key Responsibilities

Managing the front of house and ensuring the smooth daily operation of the clinic.
Welcoming patients and providing an exceptional customer experience.
Handling telephone calls, emails and patient enquiries, converting leads into bookings where possible.
Booking appointments, taking payments and managing practitioner diaries efficiently.
Maintaining accurate patient records and clinic administration.
Supporting the Clinic Manager with daily operational duties.
Preparing treatment areas for doctors and therapists.
Ensuring the clinic is maintained to the highest standards of presentation and cleanliness.
Managing filing, compliance documentation and general administrative duties.
Using Microsoft Office, Outlook, Word and basic Excel confidently.
Supporting marketing activities and social media where required.
Making appropriate referrals to practitioners to maximise patient care and clinic performance.

Skills & Experience

We are looking for someone who has:

A minimum of 5 GCSEs (or equivalent).
Excellent written and spoken English.
Outstanding communication and customer service skills.
A professional, confident and well-presented manner.
A positive, outgoing personality with the ability to build strong relationships with patients and colleagues.
Strong organisational skills with excellent attention to detail.
The ability to work independently and use their own initiative.
Good Microsoft Office skills, including Outlook, Word and basic Excel.
Strong administrative and diary management experience.
A passion for the aesthetics, medical or wellness industry.
Experience using the Zenoti system (desirable).
Knowledge of aesthetic treatments and procedures (desirable).

Working Pattern

This is a part-time position with flexibility to meet the needs of the business.

Regular Saturday working is required and is non-negotiable.
