Lettings Agent / Property Manager

Overview

BTC Lettings Midlands is looking for a proactive, organised and confident Lettings Agent / Property Manager to join our growing team.

This is a varied, hands-on role involving the day-to-day management of residential properties across Coventry and the surrounding areas. The successful candidate will work closely with landlords, tenants, contractors and other members of the team to ensure properties are managed professionally and efficiently.

The role will involve a mixture of office-based administration and travelling to properties for viewings, inspections, check-ins, check-outs and landlord appointments.

Duties and Responsibilities

Conduct property viewings with prospective tenants
Carry out routine property inspections
Complete tenant check-ins and check-outs
Meet with new and existing landlords
Respond to landlord and tenant enquiries by telephone and email
Coordinate maintenance issues and arrange repairs with contractors
Follow up on outstanding maintenance and property-related matters
Assist with preparing properties for new tenancies
Manage tenancy documentation and property records
Arrange appointments and provide access to properties where required
Monitor rent payments and assist with following up rent arrears
Take and maintain accurate inspection and property condition records
Assist with advertising available properties and responding to enquiries
Support the lettings process from initial enquiry through to move-in
Maintain positive relationships with landlords, tenants and contractors
Carry out general administrative duties relating to the property portfolio
Ensure all tasks and updates are accurately recorded on the company’s systems

Requirements

Previous experience in lettings, estate agency or property management is preferred
Previous experience in administration or a customer-facing role will also be considered
Strong communication and customer service skills
Confident speaking with landlords, tenants and contractors
Excellent organisation and time-management skills
Ability to manage multiple tasks and appointments
Strong attention to detail
Professional and presentable manner
Ability to work independently and as part of a team
Comfortable using email, Microsoft Office and property management systems
Good knowledge of Coventry and the surrounding areas would be beneficial
Full UK driving licence
Access to a reliable vehicle
