Permanent contract

The Clinical Engineering service are looking for a new Support Team Leader to successfully lead and manage the administration team who are crucial to the Department and the work they do in support of the wider Trust.

Managing this team is paramount to the smooth operation of the entire Department; including the engineering teams plus that of the Medical Equipment Library. Both provide the knowledge and expertise to inspect, maintain and repair a wide range of technically advanced medical devices. This equipment is crucial to all areas of the Trust and is key to the delivery of quality patient care. The administration team are responsible for placing around 1,400 orders per year; with an annual expenditure of over £500,000. The team also provide support to the Trust medical device procurement programme with an estimated value of £2 million per year.

The Support Team Leader is responsible for overseeing all aspects of the admin team on a day-to-day basis. This also includes liaising with various external medical device suppliers, overseeing the ordering of numerous high value equipment’s and spare parts and tracking these orders through to delivery. A key function of this role is to assist the Trust with the hire of medical devices to meet the clinical need of specific patients and then receive and validate all invoices providing a high level of financial scrutiny and assurance. The post holder will work with the management team to identify opportunities for improvement and efficiency so logical thinking and attention to detail are also key to the role.

Ideally you will have a strong ability to lead and manage others having line management responsibility for two other staff members. Working well as part of a small team is essential, as is excellent verbal and written communication skills and a strong desire to help others.

Qualifications

Essential

Relevant Administration Management qualification (e.g. HNC Business Studies or equivalent) OR
Previous relevant experience managing administrative staff in an NHS environment.

Desirable

Other applicable qualifications and with relevant experience
IT certificate or equivalent experience, skills and knowledge.

Skills and Knowledge

Essential

Knowledge and experience of managing administrative staff (within the NHS)
Experienced in using bespoke NHS software (e.g. ESR / SBS).
Experienced in using Equipment / Asset Management database(s).
Good knowledge of NHS / Trust medical device management policies and procedures.
Good management and leadership skills.
Strong customer service skills.
Excellent organisational skills.
Strong IT literacy - able to use standard O365 package and bespoke software applications. e.g. spread sheets, Word processing etc.
Proven ability to organise and prioritise own and others workload in an effective and efficient manner.
Ability to plan and organising meetings with follow up action as required.
Able to concentrate and provide accurate information under difficult working conditions (interruptions, noise etc).
Ability to problem solve when faced with complex enquiries.

Desirable

Knowledge of medical device suppliers.

Experience

Extensive knowledge and experience in NHS procurement and deployment of medical devices.
Supervision, management and leadership of staff.
Extensive experience in medical device management procedures.
Familiarity with clinical users and other Trust departments and staff.
Able to provide advice and guidance to clinical uses regarding the deployment of medical devices.
Accurate minute taking.
