Overview

Job Description and Person Specification

Premiere Property Services Ltd, a vibrant and friendly building contractor, are seeking a part- time office administrator to join their close-knit team.

Job Title: Office Administrator.

Reports to: Office Manager.

Job Description

Principal Responsibilities:

· Proof reading and sending of quotations.

· Dealing with inbound and outbound telephone enquiries, ensuring high levels of customer service at all times.

· Email handling using Outlook.

· Arranging site visits and diary management.

· Liaising with Insurance companies and policy holders to ensure that their claims run smoothly.

· Ordering materials such as decorating supplies and materials for site.

· Arranging the hire of skips, scaffold towers and Portaloo’s.

· Using excel to update the company communication sheet.

· Liaising with building control to book site inspections, obtain completion certificates and arrange building notices.

· Arrange plumbing and heating works including yearly boiler services.

· Save and label photos received from surveyors.

· Update the invoice book and office boards.

· Upload supplier invoices.

· Filing delivery notes.

· Dealing with any post.

· Vehicle trackers and staff time sheets.

· Creation of applications and invoices.

· Any other reasonable office and administration duties required.

Person Specification

Skills, Knowledge, Personal Qualities:

Essential:

· Good communication skills, both verbal and written.

· Excellent customer service skills.

· Good organisational skills with the ability to prioritise a variable workload and manage time effectively.

· A team player with a proactive approach to work.

· Good computer literacy including Microsoft Office, Word, and Excel.

Desirable:

· Knowledge of the building and construction industry.

· Experience of working with Insurers or local authorities.
