Job Purpose
To support the delivery of accurate and timely quotations for clients across all service lines. The role is responsible for managing quotation requests, gathering information from operational teams and suppliers, preparing costings, and ensuring quotations are submitted within agreed timescales. In addition, the Estimator will support day-to-day operational activities, provide technical guidance to internal teams, and take responsibility for the development and supervision of a Junior Estimator as the department grows.
The successful candidate will play a key role in supporting business growth by ensuring all quotations are commercially competitive, technically accurate, and aligned with client requirements.
Key Responsibilities
- Receive and log quotation requests from clients and internal stakeholders.
- Review client requirements, specifications, drawings, and site information.
- Liaise with operational managers, subcontractors, and suppliers to obtain pricing.
- Arrange and coordinate site surveys where required.
- Prepare accurate quotations and cost breakdowns using company templates.
- Ensure all quotations are commercially viable and meet company margin requirements.
- Monitor quotation deadlines and ensure submissions are made on time.
- Maintain quotation records within company CRM, CAFM, and management systems.
- Follow up submitted quotations and record outcomes.
- Produce quotation reports, pipeline updates, and forecasting information for management.
- Assist with tender submissions and larger project pricing exercises when required.
- Support mobilisation planning for successful quotations and contract awards.
- Identify opportunities for additional services and upselling across existing client portfolios.
- Ensure compliance with company procedures, health and safety requirements, and quality standards.
- Support continuous improvement initiatives within the estimating and quotation process.
Skills, Experience & Qualifications- Essential
- Previous experience in a quotations, estimating, facilities management, construction, building services, or maintenance environment.
- Strong numerical and analytical skills.
- Excellent attention to detail.
- Ability to manage multiple quotations and deadlines simultaneously.
- Good communication and stakeholder management skills.
- Commercial awareness with an understanding of cost control and profitability.
- Proficient in Microsoft Office, particularly Excel, Outlook, and Word.
- Full UK driving licence.
Desirable Qualifications
Candidates should hold, or be working towards, one or more of the following:
- HNC/HND in Construction Management, Building Services, Quantity Surveying, Facilities Management, Engineering, or a related discipline.
- Degree in Construction Management, Quantity Surveying, Facilities Management, Building Surveying, or Engineering.
- IWFM (Institute of Workplace and Facilities Management) qualification.
- IOSH Managing Safely.
- NEBOSH General Certificate.
- SFG20 awareness or compliance management training.
- PRINCE2 Foundation or equivalent project management qualification.
- CSCS Card.
- Membership of a relevant professional body such as IWFM, CIOB, RICS, or CIBSE.
Desirable Experience
- Experience within facilities management, M&E, compliance services, or building maintenance.
- Experience using CAFM systems such as Simpro, Concept, Maximo, or similar.
- Experience using CRM and estimating software.
- Understanding of PPM, reactive maintenance, and project delivery environments.
- Experience assisting with tender submissions and contract mobilisation.
