Full job description

Part time - 10 hours per week

Reports to: Registered Care Manager and Business Director.

Essential Key Duties:

· Receptionist / Telephonist – directing accordingly

· Meet & Greet to visitors at the home.

· Admin – supporting Home Managers and Deputy Managers with correspondence and communication requirements.

· Manage Care Plan agreed fees, file and pass copies to Head Office.

· Management Reporting – Occupancy & Agency compilation of data for the home.

· Petty cash.

· Recruitment – placing adverts / sending out applications / arranging interview etc.

· New Starters – processing all new applications Inc DBS.

· Preparation of interview packs and promotional and admission packs.

· Staff files – managing staff files and keeping them up to date.

· Contracts – preparation of staff contracts for Directors signatures.

· Staff uniform and name badges - ordering for new starters and replenishing for existing staff.

· DBS – Review staff files and re do DBS at 3 years.

· Nurse PINS – quarterly checks on PINS and revalidation dates.

· Welcome pack up to date

· Check suggestion box

· Training Matrix

· Supervision Matrix

· Appraisal Matrix

· Sickness Matrix

· Holiday Matrix

· Personnel Matrix

· QAQ support for Manager

· Head Office finance support – matching timesheets to agency invoices and to all other invoices relating to the home for authorisation to pay.

· Stationery – maintaining stock for the home.

· HR – Attending disciplinary meetings to take minutes / preparation of disciplinary documentation.

· Staff meetings – taking minutes

· Management of Office Corporate Files – inc construction and updates

· Archiving management of company and homes statutory documentation.

· Archiving staff files for members of staff who are no longer employed. Scan and store all relative information held on the individual.

· Prepare information for reference requests for previous employer for the home manager.

· Undertake any other task as directed by line manager.

· Compliments and complaints folder.

· Condolence cards and letters to relatives
