Job Summary: As a Dental Lab Administrative Assistant, you will play a crucial role in supporting the smooth operations of the dental laboratory by handling administrative tasks and providing assistance to the dental lab team. Your responsibilities will include managing office procedures, coordinating communication between various departments, and ensuring efficient workflow within the dental lab.

Key Responsibilities:

Administrative Support:
Perform general clerical duties, including data entry, filing, photocopying, and organizing documents.
Answer and direct phone calls, emails, and inquiries from clients, suppliers, and team members.
Maintain organized and up-to-date filing systems for both physical and digital records.
Communication Coordination:
Facilitate communication between the dental lab team, clients, and other relevant parties.
Assist in scheduling appointments, meetings, and conference calls.
Ensure timely dissemination of information within the dental lab, fostering effective teamwork.
Order Processing:
Assist in processing orders, tracking inventory, and coordinating with suppliers.
Manage order documentation, including purchase orders, invoices, and shipment tracking.
Client Interaction:
Handle client inquiries, providing information about services, pricing, and order status.
Maintain positive client relationships through effective communication and customer service.
Quality Control Assistance:
Collaborate with the dental lab team to ensure quality control procedures are followed.
Assist in maintaining records related to quality assurance and compliance.
Appointment Scheduling:
Coordinate and schedule appointments for clients, technicians, and other relevant stakeholders.
Update and manage appointment calendars to ensure efficient use of time and resources.
Billing and Invoicing:
Assist in billing and invoicing processes, ensuring accuracy and timely submission.
Work closely with the finance department to reconcile accounts and resolve discrepancies.
Adherence to Regulations:
Stay informed about relevant industry regulations and compliance requirements.
Assist in implementing and maintaining procedures to ensure compliance with industry standards.

Qualifications and Skills:

High school diploma or equivalent; additional education or training in office administration is a plus.
Proven experience as an administrative assistant, preferably in a dental or healthcare setting.
Proficient in office software (e.g., Microsoft Office Suite) and familiarity with dental lab software.
Strong organizational and multitasking skills with attention to detail.
Excellent communication and interpersonal abilities.
Knowledge of dental terminology and procedures is advantageous.
Ability to maintain confidentiality and handle sensitive information.
Strong problem-solving skills and the ability to work independently.
