Admin, secretarial & PA

Permanent/ full time

Ingatestone, Essex – Fully office based

New secretary/PA is required to replace the existing post-holder to be in charge of the Estate Office which is the hub of the operation, providing administrative and bookkeeping support for and liaising with the department heads (Events Manager, Catering Manager, Farm Manager, Forestry Manager, Head Gardener and Maintenance Supervisor) and being the first point of contact for incoming enquiries and callers.

Lord Petre’s Estate is a small family run rural business comprising:

a. Farming. 1500 acres in hand but “contract farmed” i.e. all fieldwork, purchasing of supplies and crop sales dealt with by a contractor.

b. Letting of farms, commercial premises and residential properties owned by the Estate (about 60 tenants in all).

c. Historic House open to the public (Easter – end of September) and hired out throughout the year for a wide range of events (Weddings, exhibitions, concerts and plays, receptions, film locations etc).

d. Forestry. 500 acres of woodland managed by contractor.

The role is, generally, to run the office in an organised and orderly way, in particular in ensuring that incoming matters, whether by post, email, telephone or personal caller are promptly dealt with or passed onto and acted upon by the relevant department head and also to be prepared to assist with any out of the ordinary office-related tasks which may arise.

Both Lord Petre and his son, Dominic, play an active role in the business and there is considerable flexibility in the apportionment of the day-to-day workload. Thus it is difficult to be completely specific, even leaving aside inevitable unforeseen circumstances and eventualities, about the tasks that the post holder will invariably perform BUT they will not include any domestic chores or errands.

The post requires absolute discretion, the ability to work unsupervised and good communication skills for dealing with staff and customers, Secretarial skills essential (typing, basic computer literacy, PAYE and basic book-keeping). In brief, the Secretary will be responsible for the running of the Estate Office at Ingatestone Hall which is likely to include:

a. Being the point of contact for incoming communication (post, email, telephone and personal callers).

b. Taking bookings for guided tours, school visits and other special events in the historic house.

c. Diary management. Assisting Lord Petre with his diary (answering invitations etc) and keeping the master diary of events at Ingatestone Hall including taking bookings for guided tours and other events at Ingatestone Hall.

d. Typing (and posting) of letters and emails (using Microsoft Office).

e. Payment of weekly wages including HMRC paperwork and Stakeholder Pension (using Intuit QuickBooks). The Estate has only 8 year-round employees but there is a pool of approximately 20 part-time attendant and tearoom staff who work for at least some weeks during the summer season.

f. Issuing of standard contracts and invoices for hirers and private visits to Ingatestone and to tenants of property.

g. Issuing of invoices and credit control.

h. Keeping the filing up to date.

i. Payment of all invoices.

j. Book-keeping (using Intuit QuickBooks) and administration of bank accounts including bank reconciliation

k. There are complicated VAT returns to be made – it is hoped that in time you will learn how to do them.

l. Dealing with correspondence (email and surface mail), according to circumstances, by composing responses themselves or by taking dictation and despatch thereof.

m. Placing and/or organising the distribution of advertising material for the historic house.

n. Drawing up, in conjunction with Dominic Petre, and distributing the roster of house attendants for the public opening of Ingatestone Hall and liaising with the Duty Managers so rostered to make any necessary adjustments thereto Co-ordinating staff rostering for the above and for the routine public opening of the house during the summer.

o. Liaising with the Housekeeper who is responsible for the running of the Ingatestone Hall tearoom (including staffing and supplies) and the Ingatestone Hall cleaning staff.

p. Liaising with the Events Coordinator who is responsible for planning all hiring of Ingatestone Hall for special events.

q. Liaising with the Head Gardener who is responsible for the grounds of Ingatestone Hall.

r. Maintaining, and ordering a satisfactory level of office supplies.

The work is generally very varied. Although there is inevitably a certain amount of routine, the management style is essentially relaxed and adaptable. There are well-established and resilient systems in place to deal with most situations but there will be occasions when imaginative initiative will be required.

No specific qualifications are required but basic PC IT skills (Microsoft Office) and knowledge of PAYE and simple bookkeeping practice using Intuit QuickBooks are essential.

The new appointee will ideally be required to work normal office hours (9 a.m. –5 p.m., Monday to Friday) but scope for flexitime if required.

For legal and administrative purposes, the Employer is Lord Petre but his family participate in the business and make use of the services of the Estate Office as required.

Salary is In the region of £29,000 p.a.

Paid holidays: 28 days per year (including 8 days to be taken over the Christmas period).

Sick pay and pension arrangements in accordance with statutory requirements.

Start date is as soon as possible. It is hoped that there will be an overlap period with present post-holder to allow the new employee to become familiar with business’s working practices.

In essence we are looking for somebody who is discreet and able to keep confidences, literate and numerate and, because the Estate Office is the communications hub for all aspects of the business, has a friendly demeanour and good communication skills.
