Full job description

Key ResponsibilitiesReception & Customer Service

Answer incoming telephone calls professionally and efficiently
Respond to client emails and enquiries promptly
Act as the first point of contact for customers
Manage client requests and ensure they are followed through to completion
Handle customer queries and complaints professionally

Administration

Maintain accurate client records across company systems
Process and manage emails daily
Prepare, issue, and monitor invoices
Update internal systems and records accurately
Assist with document preparation and office administration

Scheduling & Coordination

Book quote visits and appointments
Schedule maintenance and landscaping works
Update calendars and scheduling systems
Coordinate client bookings and project timelines
Liaise with operational staff regarding scheduling requirements

Landscaping Project Administration

Process accepted landscaping quotations
Create and issue materials invoices
Assist with project scheduling through Tradify
Coordinate materials, skips, and plant deliveries
Monitor project progress and update schedules where required
Prepare interim invoices for larger projects

Operations Support

Assist with daily office operations and administration
Maintain accurate job notes and records
Support management with reporting and administrative tasks
Ensure procedures and company processes are followed consistently
Assist with Health & Safety administration and documentation

Skills & ExperienceEssential

Previous administration, reception, or office experience
Excellent written and verbal communication skills
Strong organisational skills
High attention to detail and accuracy
Confident using Microsoft Office and email systems
Ability to manage multiple tasks and priorities
Professional and friendly manner

Desirable

Experience using scheduling software, CRM systems, Tradify, QuickBooks, or similar
Experience within construction, landscaping, trades, or property sectors
Knowledge of invoicing and office procedures
Health & Safety administration experience
