Job Description:

Job Title: Order Processing Specialist

Pay: £28,000 per annum pro rata

Department: Operations

Reports to: Operations Manager

Hours of work: 4 and 5 days per week available (30 and 37.5 hours). When applying, please specify what your chosen preference would be.

About the Role

We are looking for an Order Processing Specialist to join our Operations team. This is an administrative role where you’ll be responsible for ensuring the accurate, timely and consistent handling of spectacle lens orders from receipt through to release into production. This role is operational and admin focused, and you will work mainly with internal systems, and our teams to keep jobs moving efficiently through the lab. Any external contact with our customers is limited to clarifying order information necessary to process work.

What You’ll Be Doing

Receive customer orders from email, online systems, or colleagues
Check order details, pricing and delivery information for completeness and consistency.
Process orders, ensuring keen attention to detail regarding identify missing or conflicting information and taking appropriate action.
Learn how to check basic lens measurements (full training provided)
Enter orders, clarifications and changes into our system accurately and efficiently
Use Microsoft Outlook, Excel, and Word for tracking orders, reporting, and internal communication
Help prioritise urgent jobs when needed
Work with other teams (production, quality, dispatch) to keep operations running smoothly
Communicate in a clear, factual and concise way focused on obtaining the data required to process the job.
Follow company processes and guidelines, such as SOPs, Work Instructions and authorisation limits related to order handling
Handle patient and practice information in line with data protection and confidentiality expectations.

What We’re Looking For

Essential:

Some experience in admin, data entry, or a similar role (e.g. warehouse office, logistics, customer service)
Strong computer skills (Outlook, Excel, Word)
High level of attention to detail and accuracy with both numeric and text data
Ability to understand and apply basic lens calculation principles or willingness to learn
Good organisation and time management, as well as a structured, methodical approach to work.
Comfortable working with defined processes, targets and deadlines

Desirable (but not required):

Experience using order systems
Background in optical, medical, or manufacturing environments
