Job Summary

The Band 4 Project Support Officer will play a critical role in enabling the successful delivery of a wide range of Academy programmes. Working closely with our stakeholders, Development Leads and Officers, the post holder will ensure that programme outcomes are achieved by providing highquality project coordination and proactive issue escalation. This role strengthens the Academy’s capacity to deliver systemwide workforce development aligned to Leeds One Workforce priorities.

What you will bring to the role

Key Responsibilities

1. Programme & Project Support

The post holder will provide daytoday support across multiple programmes, ensuring smooth delivery and effective coordination. This includes:

Programme administration maintaining project documentation, updating trackers, preparing materials, and supporting delivery logistics. Examples: updating project plans, circulating learning materials, coordinating enrolment lists, maintaining SharePoint folders.
Project monitoring tracking progress against milestones, identifying slippage, and supporting risk and issue management. Examples: updating RAG ratings, logging risks, preparing highlight reports.
Data and reporting supporting evaluation, collating feedback, and contributing to programme reports. Examples: compiling survey data, producing summary dashboards, supporting evaluation frameworks.

2. Administrative Support

The role provides essential administrative capacity to ensure programmes and governance structures run effectively.

Meeting coordination planning agendas, preparing papers, attending meetings, taking minutes, and tracking actions. Examples: scheduling stakeholder meetings, drafting agendas, producing accurate minutes, updating action logs.
Workshop and event support supporting the organisation and delivery of workshops, training sessions, and workgroups. Examples: booking venues, managing participant lists, preparing resources, supporting facilitators on the day.
Information management maintaining accessible reporting systems, ensuring audit trails, and managing document archives. Examples: maintaining version control, organising shared drives, ensuring decisions are logged and traceable.

We are looking for someone with the following key skills, knowledge and behaviour:

GCSEs including English and maths (C/4 or above) or equivalent
Experience of providing high level project support to projects
Ability to recognise risks or issues and the implication for the project.
Ability to plan and organise complex activities, formulating and adjusting plans as necessary.
Evidence of working autonomously within the constraints of agreed policy & procedure
Understanding of data protection legislation including GDPR
Strong communication skills, both written and oral
