Full job description

Finance & Data Administrator

Hours: 4 days per week,
Location: Primarily based in Carmarthen, with travel required to other site locations as needed, including Ammanford, Llanelli, Swansea, Milford Haven and Neath Port Talbot.
Driving requirement: A full UK driving licence and access to a vehicle are essential

About the Role

We are looking for an organised, numerate and highly accurate Finance & Data Administrator to join our growing finance team.

This position would suit someone who enjoys working with spreadsheets, systems and financial information. You will be responsible for processing and checking large volumes of data, identifying discrepancies and helping ensure that invoices, mileage claims, payroll information and financial reports are accurate and completed on time.

A formal finance qualification is not essential, as training can be provided. However, strong Excel and IT skills are required. Previous payroll experience would be particularly beneficial.

You will work closely with the Chief Operating Executive, finance colleagues and management teams to support financial administration and reporting across several services and associated companies.

Key Responsibilities

Processing weekly invoices accurately and within agreed deadlines
Managing and checking fortnightly staff mileage claims
Preparing four-weekly and monthly payroll reports
Checking payroll information, hours, mileage and other payments for accuracy
Investigating discrepancies before payroll and invoicing deadlines
Creating and maintaining Excel spreadsheets, trackers and financial reports
Analysing large datasets and identifying errors, omissions or unusual variances
Using Xero and other accounting or finance systems
Supporting payroll preparation and responding to payroll-related queries
Developing formulas, reports and automated processes to improve efficiency
Supporting the wider finance team with administrative and clerical duties
Liaising with managers, employees and sister companies
Maintaining accurate and confidential financial records
Managing competing priorities and working to strict deadlines
Travelling between services when required
Providing general finance and office administration support

Essential Skills and Experience

Strong Microsoft Excel skills, including formulas, pivot tables, lookups and data analysis
Confidence working with numbers and large volumes of information
High levels of accuracy and attention to detail
Strong numeracy and problem-solving skills
Previous office-based administrative or clerical experience
Confidence using Microsoft Office, including Excel, Word and Outlook
Familiarity with Google Workspace
Strong typing and data-entry skills
Ability to learn new software and systems quickly
Excellent organisational and time-management skills
Ability to manage several tasks and deadlines simultaneously
Professional written and verbal communication skills
Ability to work independently and take ownership of responsibilities
Understanding of the importance of confidentiality when handling payroll and financial information
Full UK driving licence and access to a vehicle

Beneficial Experience

The following would be beneficial but is not essential, as training can be provided:

Previous payroll administration or payroll-processing experience
Experience preparing payroll reports or checking employee hours and payments
Finance administration, invoicing or accounts experience
Experience using Xero, QuickBooks or another accounting system
Knowledge of Excel macros, automation or reporting dashboards
Experience working within a multi-site organisation
An AAT, payroll or bookkeeping qualification

Hours and Progression

This role is initially offered on a four-day-per-week basis.

There is a clear opportunity for the position to increase to full-time hours in the coming months, subject to organisational requirements and discussion with the successful candidate.

The role also offers genuine potential to progress into a more senior finance, payroll or operational position as the organisation continues to grow.

Training and Development

Further professional development relevant to the role

You should be comfortable taking responsibility for important tasks, meeting non-negotiable deadlines and identifying errors that others may have missed. You will be expected to question discrepancies, follow matters through to resolution and contribute ideas for improving financial and administrative processes.
