Full job description

The Patient Support Executive will operate as both the first point of contact for new patients registering with PSM and booking their first appointment and, be a continued support for existing patients looking to book, alter or cancel their appointments – managing all communications by phone, email and chatbot. The Patient Support Executive will also be responsible for redirecting general queries to the relevant clinics and liaising with admin teams to ensure a smooth and efficient customer journey for all patients.

Main Duties and Responsibilities

The Patient SupportExecutive will be focused on the highest levels of customer service, have excellent product knowledge and will be target driven.

Responsibilities will include:

Maintaining high conversion rates from web enquiries into diary bookings
Monitoring the booking phone line and converting calls into bookings
Cancelling, rescheduling and altering appointments for existing patients.
Ensuring efficient follow-up ratio for existing leads
Offering exceptional customer service across all channels including phone, email and chatbot
Operating the web chat function on the website in an efficient and effective manner
Updating patient details onto Meddbase for upcoming appointments
Ensuring that HubSpot is deployed effectively with all customer details, notes and conversations kept up to date, using this information to provide a smooth customer journey with a personalised approach
Providing a channel of customer insight for the marketing team in order to optimise and constantly improve how we cater for customers, communicate with them and add value
Contacting new patient referrals and booking them in with the appropriate clinicians.
Connecting with reception teams to ensure smooth handovers between the booking process and appointment arrival
Dealing with non-booking enquiries where possible, or delegating to the correct reception teams/clinicians/staff members if necessary.
Monitoring HCML, including booking in their initial appointments, and assisting clinical teams with updating diaries and solving any booking issues
Communicating with clinicians and staying up to date with their diaries and upcoming availability
Liaising with clinicians and bringing them into the patient conversation where relevant and where they will add value
Co-ordinating programs including the Back Pain and Knee Pain programmes
Maintain a personal link between the support team, clinicians and admin staff
Any other duties which may be required and agreed with the organisation

Front of house experience in the service sector: spa | hotel | healthcare | fitness including the use of booking systems
Sales experience within the service industry and experience with CRM software (preferably HubSpot)
Experience with appointment booking systems

Pay: £13.00 per hour
