The Safety Coordinator will play a key role within UCL Safety Services, providing high-quality administrative and coordination support to ensure the effective operation of safety governance processes across a large and complex organisation.
This is a varied role with a strong focus on organisation, administration and process management. You will coordinate a range of activities that underpin UCL's health and safety framework, including maintaining records and documentation, supporting audit and inspection programmes, administering governance processes and ensuring that key information is accurate, accessible and up to date.
You will be responsible for managing and maintaining a range of safety-related systems, registers and databases, supporting the production of reports and performance information, and helping to ensure that actions, deadlines and compliance requirements are tracked and monitored effectively. The role will also involve arranging meetings, preparing papers and documentation, taking minutes and supporting the delivery of training and wider governance activities.
Working closely with colleagues across UCL, you will act as a central point of coordination for a number of safety processes, ensuring that information flows efficiently between stakeholders and that administrative processes are delivered to a consistently high standard.
This is an excellent opportunity for someone with strong administrative and organisational skills who enjoys managing complex processes, maintaining accurate records and supporting the smooth running of an important university-wide function.
You will have significant experience in an administrative, coordination or governance-focused role within a large and complex organisation. You will be highly organised, with excellent attention to detail and a proven ability to manage multiple priorities, maintain accurate records and ensure deadlines are met.
You will be confident working with data and information, with experience of maintaining databases, producing reports and using systems such as Excel to organise and analyse information. Experience of reporting tools such as Power BI or Tableau would be advantageous, but a strong aptitude for working with data is more important.
You will have excellent written and verbal communication skills, with experience of preparing documentation, coordinating meetings, producing minutes and communicating effectively with a wide range of stakeholders. You will be comfortable handling sensitive or technical information and presenting it clearly and accurately.
You will be proactive, methodical and able to work independently while building effective working relationships across teams. Above all, you will bring strong administrative and coordination skills, with the ability to keep complex processes running smoothly and efficiently in a busy environment.
