Position Overview:
We are looking for a Global Visa Consultant (EMEA) based in London to support employees across the region with visa applications, passport processing, and travel documents.
This role involves customer service, visa processing, case management, and client communication, ensuring applications are accurate and submitted on time.
The successful candidate will manage visa applications, review documentation, provide guidance, and track progress, while maintaining strong client relationships.
This role is ideal for someone with strong communication skills, attention to detail, and experience in customer service, travel, or immigration support, working in a fast-paced environment.
Essential Duties and Responsibilities:
- Listen actively to the travelers needs to ensure these are met; anticipate further needs, offering pro-active solutions. Communicate regularly with the client to build a warm relationship that focuses on business needs.
- Advise employees on visa requirements and processing times. Use sound judgement in assessing client risk and escalating potential issues in a timely manner. Consult with travelers on immigration need and determine best course of action
- Work with VIPs, Admins and group travel resources offering expert consultation on immigration needs
- Prepare filing for visa applicants, preparing documentation and responding to foreign government inquiries. Develop and maintain clear timeline deliverables for each case. Monitor application deadlines and complete assigned work within the appropriate timeframes.
- Manage the Business Cover Letter and Letter of Invitation process including drafting, securing signature and delivery logistics
- Provide final quality review prior to submission to consulate
- Act as the centralized contact within CIBT offices for all client related requests Represent CIBT in a professional manner.
- Review the Agent Action List and the Critical File List daily to ensure all itineraries are kept current and all necessary actions are completed.
- Ensure that all required travel documents are returned to the traveler in accordance with their need date.
- Advise Manager of any learned changes in requirements.
- Adhere to the Standards of Work policies and procedures.
- Ensure compliance to CIBT policy and ethics.
- Maintain a professional and mutually beneficial relationship with Local operations staff.
- Other job duties as assigned by management.
Requirements:
- Highly desirable experience in travel, hospitality, or embassy/consulate relations
- Fluency in written and spoken English
- Exceptional communication and interpersonal skills
- Strong client service mentality
- Solutions-focused with excellent attention to detail and accuracy
- Proficiency with computer software; aptitude for learning new programs
- Strong organizational and time management skills
- Ability to handle high volume while maintaining high level of productivity
- Ability to problem solve, analyze information and provide solutions
