As the business continues to grow, we are looking for an experienced Team Leader to take responsibility for our Order Fulfilment function.
The opportunity
This is a hands-on leadership role managing a small office-based team responsible for processing and progressing customer and supplier orders.
Reporting to the Head of Operations, you will oversee the order cycle from contract review and order entry through to purchase orders, supplier confirmations, delivery progression and the provision of accurate order-status information to Sales.
You will be expected to provide clear day-to-day leadership while also improving the way the department works.
A major part of the role will involve identifying why orders are delayed and taking practical action to improve performance. You will use KPI data, Pareto analysis and root-cause analysis to focus attention on the issues having the greatest operational impact.
You will also act as an advocate for the Order Fulfilment team, ensuring that its workload, capacity, risks and improvement needs are represented constructively in wider company discussions.
Key responsibilities
- Lead and support the Order Fulfilment team.
- Allocate and reprioritise work according to capacity, urgency and operational risk.
- Conduct regular one-to-one meetings and support training, performance and development.
- Build team resilience through cross-training and effective holiday and absence cover.
- Ensure each active order has clear ownership, an accurate status and defined next actions.
- Oversee contract review, sales order entry, purchase order creation, supplier confirmation and delivery progression.
- Maintain accurate records within Sage 50 and other approved systems.
- Provide Sales with timely and accurate information about order status, delays and next steps.
- Monitor operational KPIs and identify deteriorating performance.
- Investigate the causes of delays, errors and overdue actions.
- Use Pareto and root-cause analysis to prioritise improvement activity.
- Implement and monitor corrective actions.
- Improve Standard Operating Procedures and working methods.
- Identify practical opportunities to reduce repetitive administration through process improvement, automation and approved AI-assisted tools.
- Support the controlled introduction of new systems and technology.
- Escalate supplier, order and capacity issues where necessary.
- Represent and advocate for the Order Fulfilment team in cross-functional discussions.
The Order Fulfilment team is responsible for providing our Sales Team with accurate and timely operational information.
About you
You will have:
- Experience in order processing, sales operations, purchasing, supply chain or a similar office-based operational role.
- Previous experience leading or supervising a small team.
- Experience allocating work and managing competing priorities.
- A track record of improving processes or operational performance.
- Strong organisational skills and attention to detail.
- A practical and analytical approach to problem-solving.
- Confidence using KPI data to identify priorities.
- The ability to challenge decisions constructively and support your position with evidence.
- Strong written and verbal communication skills.
- The confidence to work across departments and communicate with suppliers.
- Good Microsoft Office skills, particularly Excel, Word and Outlook.
- Experience using an ERP, accounting or order-management system.
- Confidence learning and using new digital tools.
Desirable experience
The following would be advantageous:
- Sage 50 experience.
- Experience in aerospace, defence, electronics or another regulated sector.
- Knowledge of ISO 9001, AS9120 or a similar quality-management environment.
- Experience using Pareto analysis, root-cause analysis or other continuous-improvement methods.
- Experience developing and reporting operational KPIs.
- Experience improving supplier confirmation, order progression or on-time delivery.
- Experience with ERP implementation or system-improvement projects.
- Experience using automation, data analysis or approved AI-assisted tools in an operational environment.
Relevant experience and a strong track record are more important than formal qualifications alone.
