Our business works in a niche branch of Health & Safety - Radiation Protection Advice. The Radiation Protection Advisers (RPAs) visit our clients, write reports, and provide ongoing telephone and email advice. The business also provides training for people working with radiation and is a supplier for Mirion personal dosimetry.
Our admin team support the RPAs by organising visits and associated pre and post appointment documentation. It is important that the successful applicant can both work independently and as part of a team, supporting the RPAs.

Job title: Office and Accounts Administrator
We are looking for a confident and highly organised individual to join our expanding team in a small, busy, and growing company, taking on a dual aspect role, blending general office administration with core accounts responsibilities. Your time will be split between the two positions, with around 60% dedicated to the account’s role and 40% to office administration duties.
Administrative role:
They will handle a wide range of administrative and clerical tasks, including managing incoming calls and emails, supporting clients with clear and professional communication, and ensuring the smooth day‑to‑day running of the office.
They will also follow company procedures and support general administrative tasks such as scheduling client appointments, managing email and client queries, preparing operational reports and maintaining office security.
They must have excellent organisation skills and the ability to prioritise effectively. The ability to provide clear, professional written communication and prompt responses are essential, along with sound judgement in deciding when to resolve issues independently and when escalation is required. With experience, they will confidently handle incoming calls, mail and emails, deal with queries appropriately, and use Microsoft Word, Excel, and the company’s CRM system, with training provided for Xero and bespoke tools.
Accounts role:
You will support the finance department by managing sales invoicing, undertaking proactive credit control, completing bank reconciliations, and responding to client and account queries.
The ideal candidate will have experience in sales invoicing, confidently managing repeating and ad‑hoc invoices with accuracy and strong organisational skills. They will complete billing cycles on time, respond quickly to one‑off requests, and use accounting systems effectively while taking ownership of the full invoicing process, including resolving queries professionally and confidentially.
They will demonstrate proven ability in proactive credit control, communicating confidently with customers to maintain positive relationships while managing outstanding balances. The candidate will follow structured reminder and escalation processes, handle challenging conversations with resilience, and resolve disputes promptly using accurate records and aged‑debt reports. They will also follow up with clients for additional information and update client details accurately on the company’s bespoke CRM system.
The successful applicant will have experience in bank reconciliation, showing strong numerical skills and an analytical approach to identifying and resolving discrepancies. They will investigate mismatches, understand root causes, and complete reconciliations accurately within deadlines, handling all financial information with integrity.
General:
The role requires someone who can remain calm and level‑headed in all situations, with strong communication skills, excellent time management, and meticulous attention to detail. You will need to be accurate, reliable, and able to prioritise effectively to ensure both administrative and financial tasks are completed to a high standard, contributing to efficient operations and exceptional service for clients and internal teams.
You'll be flexible and a quick learner who likes to have a variety of tasks to work on.

Desirable qualifications and experience:
Four GCSEs at Grade C or above or equivalent in including Maths and English.
Experience working in a customer service/office environment, with accounting experience.
Experience working with Xero is desirable but not essential.
Knowledge of Microsoft packages.
Onsite training will be given in all the current company procedures and bespoke CRM.
