Overview
We are seeking a highly organised and proactive Administration Assistant to join our team. The successful candidate will play a vital role in supporting daily office operations, ensuring smooth communication, and maintaining efficient administrative processes. This paid position offers an excellent opportunity to develop your skills within a professional environment, contributing to the overall success of our organisation.

Duties

Manage incoming and outgoing correspondence via email, phone, and post with professionalism and courtesy
Organise and maintain filing systems, both physical and digital, ensuring easy retrieval of documents
Assist with data entry tasks using programmes such as Microsoft Office and Google Workspace
Schedule appointments, meetings, and coordinate calendars for team members
Support invoicing and billing processes through accurate data entry and record keeping
Provide general administrative support including photocopying, scanning, and ordering office supplies
Respond promptly to internal and external enquiries with appropriate phone etiquette

Requirements

Proven office experience or administrative experience demonstrating organisational skills
Proficiency in computer skills including Microsoft Office (Word, Excel, PowerPoint), Google Workspace (Gmail, Calendar, Drive)
Strong typing skills with high accuracy for data entry tasks
Excellent organisational abilities to prioritise tasks effectively in a busy environment
Good communication skills with professional phone etiquette
Ability to work independently using own incitive, and as part of a team
Attention to detail and ability to manage multiple tasks simultaneously
Previous clerical experience is desirable but not essential; training will be provided where necessary
Understand and respect strict confidentiality within a clinical environment
