Full job description

Admin Assistant – Part Time

Location: The Hub, 17 Hawkhill, Dundee, DD1 5DL

Hours: 21 hours per week (flexible more or less)

About the role

We are looking for a reliable and well organised Part-Time Admin Assistant to help with the day-to-day running of our business. This is an excellent opportunity for someone who enjoys a varied role and takes pride in providing efficient administrative support within a small team. Also, excellent communication skills are required as this post will involve interaction with our Tenants on a daily basis.

Front of house duties will be expected, meeting and greeting Student guests as well as liaising with parents and third party agencies. Start and end of Term are our busiest periods, but also very rewarding welcoming new arrivals.

Key Responsibilities

- Operating and maintaining the booking system for all students

- Assisting students with any queries, in person, by email and by phone or WhatsApp.

- Managing emails, telephone calls, and correspondence

- Maintaining accurate records and filing systems

- Updating spreadsheets and databases

- Supporting tenancy administration (contracts, renewals, check-ins/outs)

- Coordinating activity with external providers where required

- Any other general administrative tasks

Candidate Criteria

Essential

- Previous admin, office support or customer service experience

- Excellent written and verbal communication skills

- Strong organisational and time-management abilities

- Ability to work independently and manage priorities

- High level of accuracy and attention to detail.

- Proficiency in Microsoft Office (Excel, Outlook, Word)

Desirable

- Experience in student accommodation, lettings, or property administration

- Experience using the StuRents Concurrent system would be a definite advantage

- Experience working in a small team

- Adaptable, happy to have varied working days i.e. no two days are the same

- Resilient, able to handle busy/peak periods

Additional Information

Holiday entitlement: 24 days + Scottish Bank Holidays

Reporting line: Accommodation Manager (/ Operations Director)

Pay: £13.45 per hour
