Finance & Accounts Assistant

Location: Surrey, RH5 5BN
Reporting to: Managing Director
Hours: Full Time / Part Time Considered for School Hours

As our business continues to grow, we are seeking a highly organised and detail-focused Finance & Accounts Assistant to support the day-to-day financial operations of the company.

The Role

This is a varied and important role within the business, supporting all areas of the finance function while working closely with sales, procurement, production and project teams.

Using Odoo ERP and accounting software, you will be responsible for maintaining accurate financial records, managing sales and purchase ledger activities, supporting cash flow management, and ensuring robust financial controls across a portfolio of bespoke projects.

The successful candidate will be comfortable working in a fast-paced, project-led manufacturing environment where attention to detail and strong organisational skills are essential.

Key Responsibilities

Sales Ledger & Credit Control

Raise customer quotations, deposits, stage invoices and final invoices through Odoo.
Monitor customer accounts and proactively manage collections.
Maintain excellent relationships with clients.
Investigate and resolve invoice queries efficiently.
Reconcile customer accounts and ensure accurate allocation of receipts.

Purchase Ledger

Process supplier invoices accurately and promptly.
Match invoices against purchase orders and goods received records.
Reconcile supplier statements.
Prepare supplier payment runs.
Resolve supplier queries in a professional and timely manner.

Banking & Cash Flow

Perform daily and monthly bank reconciliations.
Monitor cash receipts and payments.
Assist with cash flow forecasting and reporting.
Process employee expenses and company credit card transactions.

Manufacturing & Project Support

Assist in maintaining accurate project costing records.
Support stock and inventory reconciliations.
Monitor work-in-progress and production-related transactions.
Assist with profitability reporting by project, client and product line.
Work closely with procurement and production teams to ensure financial accuracy across projects.

Month-End & Reporting

Assist with month-end reconciliations and journal postings.
Support preparation of management accounts.
Maintain fixed asset and accrual schedules.
Assist external accountants and auditors as required.
Produce ad-hoc financial and operational reports.

Systems & Process Improvement

Maintain accurate financial data within Odoo.
Support continuous improvement of finance processes and controls.
Assist with reporting development and automation.
Ensure compliance with company procedures and financial controls.

Skills & Experience

Essential

Previous experience in an Accounts Assistant, Finance Assistant or Bookkeeping role.
Strong understanding of double-entry bookkeeping.
Experience managing both sales and purchase ledgers.
Good Excel skills, including pivot tables and lookups.
Strong attention to detail and numerical accuracy.
Excellent organisational and communication skills.
Ability to work independently and prioritise workload effectively.

Desirable

Experience using Odoo ERP.
Experience within manufacturing, engineering, interiors, luxury products or project-based businesses.
AAT qualified or studying towards AAT, ACCA or CIMA.
Experience with stock and inventory accounting.
Understanding of project costing and job profitability reporting.
