Full job description

Overview

Manor Surgery run an established Urgent Care Centre based on the John Radcliffe Hospital site in Oxford. The service began on 24th January 2023 and operates from 9:30am–9:30pm, 7 days a week.

The service is GP-led and provides treatment for patients with minor illness. The Urgent Care Centre receives referrals from primary care, NHS 111, and A&E for primary care conditions.

You will be the first point of contact for patients calling or visiting the service, so it is essential that you present a professional, friendly, and approachable manner at all times. Excellent communication and customer service skills are key, along with a helpful and efficient approach when dealing with patients, colleagues, and visitors.

This is a busy and demanding role requiring flexibility and the ability to work under pressure. We are looking for a reliable team player with good timekeeping and a strong work ethic.

Previous experience in a GP or healthcare reception role is desirable, but full training will be provided. Flexibility to cover additional shifts, including weekends and at short notice, is essential.

(Flexibility required to cover occasional week day evenings as overtime, in line with service needs)
Responsible to: UTC Service Manager

Job Summary

We are looking for a friendly, reliable and proactive Receptionist to join our Urgent Treatment Centre team.

This is a busy front-facing role where you’ll be the first point of contact for patients, both in person and over the phone. You’ll play a key part in keeping the service running smoothly, supporting patient flow and ensuring a positive experience in what can often be a stressful time for patients.

The successful candidate will demonstrate:

A professional, friendly, and approachable manner
Excellent communication skills with empathy and tact
Ability to work efficiently in a fast-paced environment
Reliability, flexibility, and good timekeeping
A proactive approach and willingness to learn
Confidence using IT systems and handling administrative tasks

Key Responsibilities

Act as the first point of contact for patients, both in person and via telephone
Answer general enquiries and provide information about services and procedures
Book, amend, and manage patient appointments
Receive calls from external healthcare services to arrange patient bookings
Liaise effectively between patients, clinicians, and other healthcare professionals
Open and close the reception area as required, including setting up and shutting down systems
Maintain accurate patient records, including filing and document handling
Prepare and manage patient-related documentation as required
Ensure specimens are correctly handled and prepared for collection
Maintain stock levels of stationery and supplies in reception and clinical rooms
Ensure reception, waiting areas, and clinical rooms are clean, tidy, and well organised
Carry out general housekeeping duties, including staff kitchen areas
Ensure the building is secure at the end of shifts (locking doors, windows, and shutting down equipment)
Handover any unresolved issues to colleagues at the end of shifts
Adhere strictly to patient confidentiality at all times
Undertake any other reasonable duties as required

Pay: £14.06 per hour
