Full job description

The business has grown significantly in recent years with plans to grow further by developing new products to expand its offer to existing clients as well as through gaining new clients.

Due to the continued growth of the business we are looking for a detail-oriented Administrator to join our team. You'll assist our claims handlers and solicitors in managing tasks related to claims and carry out general administration duties.

Key Responsibilities:

Administration: Managing incoming telephone queries directing to the relevant team member, where necessary. Responsible for the accurate and timely input of case data, ensuring all information is recorded in the case management system. Manage daily task lists to monitor and progress files, generating standard correspondence and emails and preparing outgoing post. Regular filing and documentation organisation along with providing general administrative support to the wider team.

Case Management: Act as the first point of contact for new claims, responsible for accurately capturing and inputting all relevant information into the case management system and extracting from third party systems. Ensure each case is set up correctly and ready for progression by the claims team, following internal processes, escalating complex or unresolved matters to the appropriate team member or line manager.

Communication: Handling incoming telephone calls, emails, and post, ensuring that all new claims and queries are dealt with promptly and professionally. Liaise regularly with internal departments and external stakeholders such as fleet management companies, insurers, and solicitors, always maintaining a courteous and confidential approach.

Business Process: Oversee the administrative lifecycle of each new file, from initial setup to the collection of outstanding information. This includes using external suppliers’ systems to receive updates, tracking progress, and ensuring that all required documentation is obtained and filed. Once cases are resolved, you will follow the company’s close-down and archiving procedures to ensure records are stored appropriately and in compliance with data retention policies.

IT Proficiency: Demonstrate strong competence in using IT systems, ensuring that digital records are accurately maintained, well-organised, and efficiently managed to support case progression and team collaboration.

Customer Service Excellence: Ability to provide a high standard of customer service by addressing inquiries promptly, offering appropriate support, and maintaining a client-focused approach in all interactions.

Effective Communication: Possess excellent written and verbal communication skills, with the ability to adapt tone and style to suit different audiences while always maintaining professionalism and confidentiality.

Adaptability: Thrives in a dynamic work environment, showing flexibility in response to changing priorities, workloads, and business needs.

Team Collaboration: Works effectively as part of a team, supporting colleagues, sharing knowledge, and contributing to a positive and productive team culture.

Organisational Skills: Manages time and workload efficiently, demonstrating the ability to prioritise tasks, meet deadlines, and maintain attention to detail in a fast-paced setting.

Qualifications

· GCSEs (or equivalent) in English and Mathematics at grade C/4 or above.

· Proven experience in an administrative or customer service role, ideally within a legal, insurance, or claims-handling environment.

· Proficiency in Microsoft Office applications and familiarity with case management or CRM systems.
