Job Title: Administration Assistant / Receptionist
Location: Mountfield Heath School, Robertsbridge, TN32 5FA
Hours: 37.5 hours per week | Monday to Friday | 8am - 3.30pm plus 10 days to be undertaken during school holiday periods (the extra 10 days can be flexible)
Salary: Up to £23,000 per annum (depending on experience, not pro rata)
Contract: Permanent | Term Time Only
Start: July 2026

At Mountfield Heath School, we're looking for an enthusiastic and professional Administration Assistant / Receptionist to become the welcoming face of our school. This is a varied and rewarding role where no two days are the same. From greeting visitors with a warm smile to supporting attendance, finance and safeguarding processes, you'll play a vital role in ensuring our school runs smoothly and efficiently. You'll be at the centre of school life—supporting pupils, staff, families and visitors while helping to create an environment where children can thrive.
As our Administration Assistant / Receptionist, you'll provide high-quality administrative, clerical and reception support to the school, helping ensure the day-to-day operation of the office runs seamlessly.
You'll be the first point of contact for many families and visitors, supporting attendance, finance, pupil records, communication and safeguarding processes, while working closely with colleagues across the school.
What You'll Be Doing
- Welcome visitors, pupils and staff, managing the reception area and creating a positive first impression.
- Manage visitor sign-in procedures and support safer recruitment and safeguarding processes.
- Monitor attendance, contact families regarding absences and produce attendance reports.
- Provide pastoral support, responding sensitively to pupils who are unwell or injured and maintaining accident records.
- Support finance administration, including processing invoices, monitoring school credit cards and collecting monies for trips and fundraising.
- Maintain accurate pupil and staff records, ensuring data systems and databases remain up to date.
- Provide general administrative support, including photocopying, filing, scanning, archiving and preparing correspondence.
- Assist with ordering supplies, maintaining stock records and coordinating repairs and maintenance requests.
- Support colleagues with technology and contribute to the development of school documentation and systems.
- Assist the Office Manager with recruitment administration, training records and the organisation of staff development events.
About You
We're looking for someone who is:
- Friendly, professional and passionate about supporting children, families and colleagues.
- An excellent communicator who builds positive relationships and works effectively both independently and as part of a team.
- Highly organised, with strong administrative skills and the ability to prioritise a varied workload.
- Confident using Microsoft Office, databases and online systems to maintain accurate records.
- Calm, adaptable and proactive, with the ability to use initiative and remain positive under pressure.
- Committed to safeguarding, confidentiality and acting as a positive role model for pupils.
- Reliable, enthusiastic and eager to learn, with GCSE Grade 4/C or above in English and Maths (or equivalent).
Desirable: Previous experience in a school environment, administration/HR/finance qualifications, a current First Aid qualification, and experience using education management or attendance systems.
