Full job description

Job Summary

We are seeking an energetic and detail-oriented Receptionist to be the welcoming face of our organisation at Parkbury House Surgery in St Albans. In this vital role, you will manage front desk operations, serve as the first point of contact for visitors and callers, and support administrative functions that keep our office running smoothly. Your positive attitude, organisational skills, and ability to handle multiple tasks with efficiency will help create a professional and friendly environment for everyone who walks through our doors.

Responsibilities

Greet visitors warmly and direct them appropriately, ensuring a positive first impression.

Answer incoming phone calls promptly, using proper phone etiquette, and route calls to the correct departments or personnel.

Manage front desk activities including signing in visitors, issuing visitor badges, and maintaining security protocols.

Handle incoming and outgoing mail, packages, and deliveries with accuracy and timeliness.

Maintain organized records of appointments, visitor logs, and office supplies inventory.

Support administrative tasks such as data entry, scheduling appointments, and managing correspondence.

Explain E-consult system to all new patients.

Explain benefits of E-consult system to all 'walk in' existing patients requesting an appointment.

Support patients with completing Elites on their behalf.

Support the Duty Doctor in making same day appointments.

Support other health care professionals such as Paramedics, care homes, hospitals with queries.

Receive, assist and direct patients in accessing the appropriate service or healthcare professional in a courteous, efficient and effective way.

Facilitate effective communication between patients, members of the primary health care team, secondary care and other associated healthcare agencies

Registrations of new walk in patients — computer data entry and medical records

Process patients change of address — computer data and medical records (have knowledge of local Practice area).

Process repeat prescription request in accordance with Practice guidelines

Assisting with checking-in the patients into their appointment, if necessary.

Processing telephone requests for appointments, visits and telephone consultations and ensuring callers are directed to the appropriate healthcare professional.

Direct patients to the correct waiting area.

Be aware of all GP/nurse locations.

Be aware if a GP is running late and notify any patients waiting to be seen.

Assist any disabled patient if requested/necessary.

Replenish surgery leaflets/forms held in the reception area.

Request signature from third party when collecting items on patient's behalf.

Take credit/debit card payment when necessary.

Ensure visitor's book is signed, when necessary.

Call for assistance if queue at reception.

Liaise with reception Lead/ duty doctor in the case of any urgent requests, medical or admin.

Ensure hand-wash gel is readily available.

Undertake a variety of administrative duties to assist in the smooth running of the practice including the provision of secretarial and clerical support to clinical staff and other members of the practice team.

To undertake all reasonable requests from Line Manager.

In the performance of the duties outlined in this Job Description, the post-holder may have access to confidential information relating to patients and their carers, practice staff and other healthcare workers. They may also have access to information relating to the practice as a business organisation. All such information from any source is to be regarded as strictly confidential

Information relating to patients, carers, colleagues, other healthcare workers or information relating to Practice business matters may only be divulged to authorised persons in accordance with the practice policies and procedures relating to confidentiality and the protection of personal and sensitive data.

Failure to observe confidentiality constitutes gross misconduct and will lead to immediate dismissal.

Health & Safety

The post-holder will assist in promoting and maintaining their own and others' health, safety and security as defined in the Practice Health & Safety Policy, to include:

Using personal security systems within the workplace according to practice guidelines.

Identifying risks involved in work activities and undertake such activities in a way that manages those risks.

Making effective use of training to update knowledge and skills.

Using appropriate infection control procedures, maintaining work areas in a tidy and safe way and free from hazards.

Reporting potential risks identified.

Reporting accidents and incidents to the Line Manager

Hours are between 20hrs -37.5hrs
