Overview

We are seeking a dynamic and highly organized Fuel Oils Office Manager to lead our administrative operations within the fuel oils division. This vital role involves overseeing daily office functions, managing team activities, and ensuring smooth communication across departments. The ideal candidate will bring a proactive attitude, exceptional organizational skills, and a passion for fostering an efficient and welcoming work environment. Join us to play a key role in supporting our team’s success and maintaining operational excellence in a fast-paced industry.

Duties

Supervise daily office activities, including clerical tasks, record keeping, and administrative support to ensure seamless operations
Manage Sales of Fuel Oils, Kerosene etc
Utilize SAGE accounting software to handle invoicing, expense tracking, and financial reporting related to fuel oils transactions
Maintain clear and professional communication with clients, vendors, and internal teams via phone, email, and in-person interactions
Ensure proper phone etiquette is upheld at all times to promote positive customer experiences
Organize schedules, meetings, and documentation to improve office efficiency while adhering to company policies and procedures

Skills

Proven experience in the Fuels Market place with office management, clerical duties, and administrative support in a professional setting
Strong team management skills with the ability to supervise staff effectively and foster teamwork
Excellent communication skills—both verbal and written—to ensure clarity across all levels of the organization
Proficiency in SAGE software for accurate bookkeeping and reporting
Demonstrated organizational skills with attention to detail in managing multiple priorities simultaneously
Knowledge of human resources practices including employee onboarding, record keeping, and HR compliance
Exceptional phone etiquette combined with professional interpersonal skills to handle inquiries confidently
Prior experience in an office environment within the fuel oils or related industry is preferred but not required
