We're searching for a UK-based Executive Assistant to join our Operations Support team, so that we can ensure our Chief Technology officer (CTO) and cross functional teams operate with maximum efficiency and alignment. The Executive Assistant will provide essential administrative and coordination support to executives and teams, managing schedules, facilitating communications, and optimising workflows, to drive team productivity and support the delivery of safer, better healthcare for all.
What You’ll Be Doing
- Manage and optimise the CTO’s calendar, proactively protecting and prioritising their time to ensure focus on high impact activities.
- Align scheduling with strategic priorities, challenging unnecessary meetings, identifying conflicts, reducing low value attendees, and spotting opportunities to delegate.
- Coordinate meetings and prepare high quality briefing materials to ensure the CTO is fully prepared.
- Draft clear, concise communications and actionable updates to keep teams aligned on objectives, priorities, and schedule changes.
- Track key strategic initiatives independently, ensuring progress is maintained and following up with stakeholders to hold commitments and drive delivery.
- Anticipate challenges before they arise, proactively resolving issues to ensure smooth daily operations.
- Organise travel, leadership offsites, and executive events, managing logistics end-to-end including venues, catering, and participant coordination.
- Maintain systems, documentation, and databases to ensure information is accurate, accessible, and handled with confidentiality.
- Identify inefficiencies in administrative workflows and recommend process improvements to enhance productivity, accuracy, and timeliness.
- Create high-quality, executive-ready presentations and decks.
- Build strong, trusted relationships with internal and external stakeholders, acting as a reliable point of contact and ensuring clear expectation management.
- Operate with a high degree of autonomy, making sound decisions within agreed boundaries while consistently ensuring executive effectiveness.
- Act as a trusted partner to the CTO and wider leadership team, enabling them to operate at their highest level of effectiveness.
What We’re Looking For
- Proven experience providing high-level administrative or executive support in a fast paced, collaborative environment.
- Strong track record of managing complex executive calendars, aligning time to priorities rather than simply scheduling meetings.
- Demonstrated ability to think strategically, anticipating needs, solving problems proactively, and making independent decisions with confidence.
- Excellent communication skills, with the ability to tailor messaging for different audiences and translate direction into clear, actionable outcomes.
- Experience preparing executive briefing materials and ( a bonus) creating polished, board ready presentations.
- Strong organisational skills, with the ability to track multiple initiatives and ensure consistent follow through without close supervision.
- A proactive, detail oriented approach with a focus on driving efficiency and continuous improvement.
- A collaborative mindset, with the ability to build trust and foster a positive, high performing team environment.
- A genuine interest in improving healthcare operations and contributing to work that positively impacts patient safety.
