Job Summary

We are seeking a highly organised and efficient Legal Assistant/Secretary to provide comprehensive support to our legal team. The successful candidate will be responsible for managing administrative tasks, preparing legal documents, and ensuring smooth office operations. This role offers an excellent opportunity for individuals with strong communication skills and a keen eye for detail to contribute to a professional legal environment. The position is paid and suitable for candidates seeking a dynamic and rewarding career in legal administration.

Responsibilities

Draft, edit, and proofread legal documents, correspondence, and reports with accuracy and attention to detail.
Perform audio typing of legal transcripts, dictations, and other documents efficiently.
Manage calendars, appointments, and deadlines to ensure timely submission of legal filings.
Maintain organised filing systems both electronically and physically, ensuring easy retrieval of documents.
Liaise effectively with clients, colleagues, and external agencies via phone, email, and in person.
Utilise Microsoft Office suite (Word, PowerPoint, Excel, Outlook) to prepare presentations, spreadsheets, and correspondence.
Assist with IT-related tasks such as setting up new software or troubleshooting basic technical issues. Use of Artificial Intelligence as required.
Prioritise workload efficiently using excellent time management skills to meet tight deadlines.
Support the legal team in administrative duties including scheduling meetings, managing incoming correspondence, and handling confidential information discreetly.

Requirements

Proven administrative experience, preferably within a legal or professional services environment.
Strong organisational skills with the ability to manage multiple tasks simultaneously.
Excellent communication skills—both written and verbal—with a professional demeanour.
Proficiency in audio typing with fast and accurate keyboard skills.
Advanced knowledge of Microsoft Office applications: Word, PowerPoint, Excel, Outlook.
Good IT literacy with the ability to adapt to new software or systems quickly.
Exceptional time management skills to prioritise tasks effectively under pressure.
Attention to detail and accuracy in all aspects of work.
Ability to maintain confidentiality at all times regarding sensitive information.
