About Stagetruck

Established in 1980, Stagetruck is a busy and vibrant company that primarily focuses on providing transport for live music events, taking some of the biggest bands in the world on tour all over Europe. We are a family business and a close-knit team. We have a sister company based in Bradford, Stagefreight, and a Dutch sister company, Stagetruck BV, with whom we work seamlessly. About the Role

This is an administrative role focused on supporting the compliance and transport planning team, helping to ensure tours and jobs run smoothly, on time and to budget. The compliance element of the role is key, as you will be working with our Fleet Check system to ensure that all our drivers and fleet are compliant with British and European regulations, and this is something we would be looking for demonstrable experience of you undertaking previously.

You must have your own transport as we are based rurally without public transport, we are looking for candidates no further away than 45 minutes (of SO21 3BG).

Responsibilities

- Supporting the drivers with carrying out all tachograph downloads from tractor units and overseeing all downloads from the drivers themselves, ensuring that all data is uploaded on the relevant system (in this case Tachomaster).

- Keeping up to date with all tachograph information daily via the system, noting any infringements and keeping transport managers informed of these infringements.

- Sending out less serious infringement notices when they have been signed off by the relevant Transport Manager (those which require TM expertise will be sent out separately by a relevant team member).

- Ensuring all drivers have up to date fuel cards on the road with them, are given replacement fuel cards with as much notice as possible when they are back at the Stagetruck premises, and that old cards are disposed of appropriately.

- Ensuring that all in date fuel cards are kept locked away so that they aren’t accessible to anyone without permission from the Transport Coordinator.

- Ensuring all fuel card PIN numbers are kept safe and are only shared on a need-to-know basis and according to the company procedure.

- Being a point of contact for drivers should they have general queries that need answering whilst on the road or at base, and being available to help them when they come into the office between jobs. this also includes being available out of work hours should a problem arise during this time period.

- Ensuring all truck and trailer folders are kept up to date at all times, with all paperwork in-date and ready to go should a vehicle be required at the last minute as is often the case.

- Responsible for booking ferries for the planning team and overseeing the ferry accounts.

- Responsible for creating import and export paperwork (GMR, ENS, PBN and T1 forms) for the planning teams on live events and touring jobs (but not general haulage unless asked).

- Working closely with members of the team to ensure the smoothest running possible of the company. This includes communicating in a clear and timely manner on all jobs and checking in as much as necessary with all relevant members of staff when asked to carry out a task, so that everyone is clear what’s happening.

- Keeping across developments in the industry, and being a standard bearer for the company when attending industry events.

- Overseeing and implementing change to plans during a fast moving and unpredictable working environment as required.

- Being a role model of good communication and establishing strong relationships with everyone from clients to drivers, office and workshop teams.

Skills Required

- Strong time and workload management capabilities.

- Able to collaborate well with anyone across the company.

- Highly organized with strong written and verbal communication skills.

- Detail-oriented, adaptable and able to prioritise in a dynamic and fast-moving environment.

- Happy to be available outside work hours as we work in an unpredictable industry that can throw up big issues outside the normal hours of a working day.

- A non-hierarchical attitude that means you are happy to get involved with whatever is required, whether that’s answering phones or staying late to support another member of staff who needs help.

- Able to carry out tasks to a high standard and complete them before moving onto a new task.

- The ability to listen well and ask questions if a task isn’t clear.

Qualifications

Experience working within the transport industry is essential, whether as a compliance officer, driver or in planning already. Many of our planners have come to the role via time on the road.
Ideally you would possess an HGV1 licence as sometimes you might need to jump in a vehicle.
A CPC qualification would be ideal but there is opportunity to study for this in the role.

Pay: £30,000.00-£40,000.00 per year
