JOB DESCRIPTION

Office Administrator — Polegate

We're a Polegate-based contractor working across electrical, construction and renewable energy, delivering projects for housebuilders, managing agents and homeowners across Sussex and the South East.

We're creating a brand-new Office Administrator role. Due to continued growth, we need someone dependable to take ownership of the day-to-day running of it.

What you'll be doing

Answering calls and emails, taking clear messages and booking appointments into the diary
Logging enquiries onto our job management system (full training given)
Raising purchase orders, matching delivery notes and invoices, and chasing up any discrepancies
Filing supplier and subcontractor invoices, and keeping project paperwork in order
Booking vehicle servicing and MOTs, and maintaining fleet and tooling records
Ordering stationery, workwear and PPE, and keeping the office stocked
Greeting visitors, contractors and delivery drivers
Supporting the Operations Coordinator with compliance and accreditation paperwork

What we're looking for

Solid administrative experience in a busy office
Confident and professional on the phone with customers, suppliers and trades
Accurate and methodical — good with detail, and you follow things through
Comfortable with Outlook, Word and Excel
Happy to chase people for information and keep on top of deadlines
Able to work on your own initiative without being told what to do next

Helpful, but not essential

Experience in construction, building services or a trades environment
Familiarity with job management software such as ServiceM8 or Simpro
Knowledge of CIS, subcontractor paperwork or industry accreditations such as CHAS or NICEIC
Purchase ledger or bookkeeping experience

Please note our site isn't well served by public transport, so you'll need your own transport.

Pay: £26,500.00-£28,500.00 per year
