About Safe Elephant

Safe Elephant is a specialist health and safety consultancy working across the film, television, events and corporate sectors. We provide practical, production-focused health and safety support, training and consultancy services to clients throughout the UK and internationally.

As the business continues to grow, we are looking for a reliable and detail-oriented Freelance Accounts Administrator to support our finance and administration functions.

The Role

This is a flexible, fully remote role initially requiring one day per week. We expect the role to remain at one day per week for at least the first six months, however there is potential for additional hours and responsibilities as the business continues to grow.

You will work closely with the Head of Administration and Managing Director to help maintain accurate financial records and ensure the smooth running of day-to-day financial administration.

Key Responsibilities

Processing supplier invoices and bills
Assisting with bank reconciliations in Xero
Monitoring outstanding invoices and supporting credit control activities
Chasing overdue payments via email
Matching remittances and payments
Maintaining accurate financial records
Assisting with month-end finance administration
Supporting invoice preparation and client billing
Filing and organising financial documentation
General administrative support relating to finance and business operations

About You

We're looking for someone who is:

Highly organised and detail-oriented
Comfortable working independently and remotely
Confident using Xero (preferred)
Experienced in bookkeeping, accounts administration or finance support
Proficient in Microsoft Excel and Google Workspace
Professional and confident when communicating with clients and suppliers
Able to manage confidential financial information appropriately

Desirable Experience

Previous bookkeeping or accounts administration experience
Experience working with Xero
Experience supporting a small business or consultancy
AAT qualification or studying towards AAT (desirable but not essential)
