JWe are looking for a warm, composed and highly organised Clinic Receptionist / Patient Coordinator to join our dermatology and aesthetics team.
This role goes beyond traditional reception. You will be an important part of the patient journey, helping to create an environment that feels professional, welcoming, discreet and exceptionally well organised.
We are particularly interested in someone with a genuine enthusiasm for skincare, aesthetics and wider health and wellbeing. You do not need to know everything from day one, but you should be naturally curious and keen to learn about skincare, skin conditions, treatments, ingredients and products.
Personality and judgement are extremely important to us. We are looking for someone warm and easy-going who can remain calm, composed and professional in a busy clinical environment, communicate confidently with a wide range of people and understand the importance of discretion, confidentiality and professional boundaries.
We also value people who think beyond the task in front of them. We would welcome someone who is enthusiastic about AI, automation and modern digital tools, or who naturally uses lateral thinking to find simpler and more efficient ways of working.
If an administrative or operational task is taking unnecessary time, we want someone who is curious enough to ask whether there is a better way of doing it — whether through AI, automation, templates, improved workflows or another practical solution.
The aim is not simply to work faster, but to reduce operational friction and free up time for patient care, service development and growing the business.

This is a part-time position, starting 5 October 2026, initially working:

Key Responsibilities
Welcome patients and visitors warmly and professionally
Manage patient reception, check-in and check-out
Schedule, reschedule and confirm appointments using the clinic management system
Answer telephone calls, emails and patient enquiries promptly and professionally
Maintain accurate patient information and administrative records
Support smooth patient flow throughout the clinic
Liaise effectively with doctors, clinicians, therapists and the wider clinic team
Assist with general clinic administration, filing, data entry and day-to-day operational tasks
Develop a good working knowledge of the clinic’s dermatology, aesthetic and skincare services
Develop knowledge of skincare products, ingredients and treatment pathways
Explain skincare products and appropriate non-clinical aspects of treatments to patients
Follow up with patients following consultations and treatments where required
Support skincare product recommendations and retail sales in an appropriate, non-pressured manner
Maintain excellent standards of patient confidentiality and discretion
Identify repetitive, inefficient or unnecessarily time-consuming administrative processes
Suggest and help implement practical workflow improvements
Use AI, automation, templates and digital productivity tools appropriately to streamline routine work
Ensure that any use of technology maintains accuracy, confidentiality, patient safety and appropriate human oversight
Help develop systems that reduce unnecessary administration and allow the team to spend more time on patients and business development

Desirable Skills and Experience
Spanish language skills — highly desirable
Additional languages
Previous experience in medical reception, healthcare administration or patient coordination
Previous experience within dermatology, aesthetics, skincare, beauty or another healthcare environment
Experience in hospitality, luxury retail or another high-standard client-facing environment
Knowledge of skincare products, ingredients or aesthetic treatments
Experience with clinic management, booking, CRM or patient management systems
Retail or consultative sales experience
Confidence using AI and modern digital productivity tools
Experience with automation, workflow improvement or process optimisation
Evidence of lateral thinking and practical problem-solving
Previous healthcare or administrative experience is welcome, but attitude, judgement, curiosity, composure and the ability to learn are equally important to us.
We welcome a highly international patient population, and the ability to communicate across different languages and cultures is a significant asset.
Excellent spoken and written English is essential.
Spanish is highly desirable and will be particularly valued, reflecting the needs of a significant proportion of our patients.
Candidates who speak other languages are also strongly encouraged to apply, and any additional language will be considered an advantage.
Beyond fluency itself, we value the ability to communicate with warmth, clarity, sensitivity and discretion, particularly when patients may be discussing personal medical, dermatological or aesthetic concerns.

You might be the person who becomes fascinated by a skincare ingredient after a patient asks about it, finds a better way of managing a repetitive administrative task, creates a template that saves the team time or discovers that an appropriate use of AI or automation can turn a lengthy process into a much simpler one.
You should also understand that working within a medical and aesthetic clinic requires discretion, judgement, confidentiality and composure. The ability to read a situation and recognise when to be engaging and conversational — and when to be quiet, reassuring and highly professional — is fundamental to this role.
