Job Title: Operations Assistant

About the Role

Polopre United Kingdom is a leading provider of commercial cleaning and facility management solutions.

We are looking for a reliable and organised Operations Assistant to join our team on a part-time basis. In this role, you will support our operations in the Wales region by handling key administrative tasks in wales, scheduling staff, and conducting site visits to ensure service quality. This is a hands-on role perfect for someone with strong organisational skills who is comfortable working independently and visiting client sites.

Key Responsibilities

Manage staff scheduling, rotas, and shift allocations for cleaning operatives across the Wales region.
Handle administrative tasks including maintaining staff records, timesheets, and attendance logs.
Conduct regular site visits to inspect cleaning quality, ensure standards are met, and identify any issues.
Carry out site audits for new and existing contracts to assess scope of work and compliance.
Coordinate cover arrangements for staff on holiday, sick leave, or other absences to ensure uninterrupted service delivery.
Act as the first point of contact for cleaning staff regarding operational queries, welfare, and performance.
Assist with the onboarding and induction of new staff, ensuring all paperwork and training requirements are completed.
Monitor stock levels of cleaning supplies and equipment, placing orders as needed.
Respond to client queries and escalate any complaints or complex issues to the Operations Manager.
Prepare and submit operational reports on staffing, site performance, and compliance.

Requirements

Previous experience in operations, administration, or a supervisory role (cleaning or facility management experience is a plus).
Strong organisational and time-management skills with the ability to multitask.
Good communication and interpersonal skills.
Ability to work independently and manage your own schedule.
Proficiency in Microsoft Office (Word, Excel, Outlook) and experience with scheduling or CRM tools
Flexible and proactive approach to problem-solving.
