Role Summary

We are seeking a Timetabling and Room Booking Coordinator to join our Student and Academic Services team, supporting the delivery of high-quality services across the University.

The Timetabling Team are responsible for the implementation and development of systems and processes to support the university’s timetabling, attendance monitoring and room allocation functions. The team are responsible for scheduling and publishing the university timetable, allocating students to classes, supporting all other related timetabling systems as well as configuring, implementing, supporting, and maintaining systems used by the university in relation to timetabling and attendance monitoring.

Key Responsibilities

Develop a through working knowledge of timetabling and act as a first/named point of contact for internal and external stakeholders, providing specialist advice and guidance on relevant matters for the Business School
Develop a through working knowledge of all the rooms available such that queries can be answered as to room sizes, equipment available, and the suitability of the room for a stakeholder’s request.
Schedule a timetable which is acceptable to students and teaching staff.
Input data in the timetabling system, developing a data quality process, solve problems and deal with enquiries as they arise; to refer any unresolvable clashes or requests to the Timetabling Business Relationship Manager.
Provide a focus of contact for School and Professional Services staff, providing support and advice on the use of timetabling software as well as training.

Essential Requirements

Excellent communication, negotiation and interpersonal skills, with the ability to build effective relationships and provide a professional customer-focused service.
Strong organisational and administrative skills, with the ability to prioritise competing demands and deliver to tight deadlines.
Excellent attention to detail.
Excellent IT skills, including strong numerical and analytical abilities and experience of handling and interpreting information.
Experience of working across departments and with a range of stakeholders to deliver projects.
Ability to work effectively both independently and as part of a team, demonstrating initiative and a proactive approach.

Desirable Requirements

Previous experience in a similar role within Higher Education.
Knowledge and understanding of current issues in Higher Education.
