Surrey and Borders NHS Foundation Trust is proud to provide a well-respected and high quality perinatal mental health service which is dedicated to promoting and improving the provision and access to specialist mental health services for new and expectant mothers. We have an established team of administrators and we are now looking to expand and recruit a dedicated and hardworking person to join this exceptional team.

The role is predominantly administration , working with all members of the Perinatal Mental Health Team. You will need to possess good telephone skills, excellent communication skills, be IT literate, be able to take confidential minutes and be able to multi-task . All members of the team are highly valued and see good administrative staff as vital to ensuring the women and families we support to receive an excellent service.

The successful candidate will work in the North West Team based in Unither House in Chertsey . The multi-disciplinary team includes a range of mental health professionals, alongside experienced nursery nurses and peer support workers. You will be joining a friendly and supportive team with further training opportunities along with regular supervision and opportunity for career progression.

The ability to travel across Surrey is essential.

You will be working within the Perinatal Mental Health Team which is part of our Trust’s commitment to deliver excellent and responsive assessment, treatment, and care for people during pregnancy and in the first 12 months after giving birth, who experience serious mental health difficulties.

You will lead the provision of administrative duties to the multi-disciplinary team to ensure the smooth running of the service.

To be responsible for the management and co-ordination of the administrative support services in the East perinatal team, ensuring all systems and processes operate efficiently, accurately and in a timely manner, through a process of continuous improvement.
To provide full administrative support to the team, including arranging and confirming appointments/meetings and proof reading and sending out patient assessments/care plans and discharge letters.
To provide a positive and responsive service to incoming telephone and email enquiries, demonstrating excellent customer service. This will necessitate the use of appropriate judgement around urgency and the employment of confidentiality and sensitivity at all times.
On a rotational basis, to manage the service’s shared in box, including accurately uploading incoming referrals and associated paperwork to the Trust’s electronic health record system.
To manage a busy workload without supervision, managing conflicting demands and deadlines and applying appropriate decision making when responding to queries and requests.
To prepare agendas, take minutes and deal with relevant actions at weekly MDT meetings in a timely manner.
On a rotational basis, to prepare agendas and take accurate, professional minutes at monthly business meetings.
To order stationery and book training via the Trust procurement site.
Provide cover for other administrators on sick leave and/or annual leave.
