Full job description

This is a remote role, however due to occasional requirements, we are looking for someone who is located with the areas of Whiteley, Fareham, Hampshire. For this role, if you’re not located in that vicinity please do not apply.

Executive Assistant to the Managing Director (Freelance / Contractor)

Location: Remote (UK Based)

Hours: Up to 10 hours per week initially

Rate/Pay: Up to £25 per hour (£250 per week/£1,000 per month)

Contract Type: Self-Employed/Freelance Contractor

Potential for Growth: High – expected increase in hours and responsibilities as the business expands

About Perfect Support Services (PSS)

Perfect Support Services (PSS) is a specialist consultancy supporting UK businesses with R&D Tax Relief, Innovation Funding and associated advisory services. We work with businesses across engineering, construction, software, manufacturing, architecture, life sciences and other innovation-led sectors.

As we continue to grow, we are looking for a highly organised, proactive and commercially aware Executive Assistant to support our Managing Director directly.

This is not a traditional administrative role. We are looking for someone who can become a trusted right-hand support, helping manage priorities, communications, scheduling and day-to-day operational administration to maximise efficiency and ensure nothing important falls through the cracks.

The Role

You will act as the first point of coordination and support for the Managing Director, helping to manage competing priorities, communications, diary commitments and administrative tasks.

The successful candidate will be highly organised, confident communicating with senior stakeholders, able to work independently and comfortable making sensible decisions regarding priorities and urgency.

Key Responsibilities

Executive Support

Helping the Managing Director stay organised and focused on high-value activities
Maintaining visibility of key priorities and deadlines
Following up on actions agreed in meetings
Preparing meeting agendas and notes where required
Providing general administrative and organisational support

Executive & Diary Management

Managing and coordinating the Managing Director’s diary
Scheduling meetings internally and externally
Coordinating appointments, calls and video meetings
Ensuring adequate focus time is protected within the diary
Identifying scheduling conflicts and proposing solutions
Prioritising requests and ensuring important matters are escalated appropriately

Communication & Gatekeeping

Acting as a first point of contact when required
Handling incoming calls when the Managing Director is unavailable
Taking detailed and accurate messages
Filtering communications and prioritising urgent matters
Managing follow-up actions and ensuring tasks are not missed
Liaising with clients, partners and suppliers professionally on behalf of the business

Travel & Logistics

Researching and booking travel arrangements
Booking hotels, restaurants and venues
Organising team activities and events
Preparing itineraries where required
Managing booking confirmations and logistics

Administration & Business Support

Data entry and administration support
Inputting financial and operational information into templates and reporting documents
Assisting with document preparation and formatting
Maintaining action trackers and task lists
Supporting management reporting requirements
Monitoring deadlines and key business commitments

Finance & Operational Coordination

Forwarding invoices and expenditure information to the finance team
Monitoring outstanding client actions where required
Chasing information from internal teams and external contacts
Supporting project and workflow coordination
Assisting with general business administration tasks as required

About You

You will likely have previous experience as an:

Operations Coordinator
Business Support Manager
Virtual Assistant
Office Manager
Project Coordinator

You should be:

Exceptionally organised
Highly proactive
Professional and trustworthy
Comfortable dealing with senior stakeholders
Able to work independently with minimal supervision
Detail-oriented and process-driven
Confident using Microsoft Office and business software
Strong written and verbal communicator
Commercially aware and capable of exercising judgement

Essential Skills

Strong administration skills
Excellent telephone manner
Strong organisational and prioritisation abilities
Microsoft Outlook, Word and Excel proficiency
Ability to manage multiple priorities simultaneously
Strong attention to detail
Excellent written English

Desirable Skills

Experience supporting business owners or directors
Experience within professional services
Experience using CRM systems
Bookkeeping or finance administration exposure
Experience coordinating projects or workflows

What We’re Looking For

This role would suit someone who genuinely enjoys helping busy people stay organised and productive.

We’re looking for someone who takes ownership, solves problems proactively, and enjoys becoming an integral part of a growing business rather than simply completing administrative tasks.

Initially, this role will be up to 10 hours per week, but there is significant potential for the hours and responsibilities to increase over time for the right individual.

Pay: £25.00 per hour
