Lettings Manager (Build to Rent & Residential)

We are a growing Asset Management company specialising in the management, letting and operation of Build to Rent (BTR) and residential apartment developments across the UK. Working closely with institutional investors, landlords, developers and residents, we pride ourselves on delivering exceptional customer service, maintaining high occupancy levels and creating professionally managed communities where residents choose to stay long term.
As our portfolio continues to expand, we are seeking an experienced Lettings Manager to join our Head Office in Daresbury and play a key role in the continued growth of our Build to Rent and residential management business.
The Role
This is an exciting opportunity for an experienced lettings professional to take ownership of our lettings function across a growing portfolio of Build to Rent and residential apartment developments.
Initially, you will manage the department independently, overseeing the complete lettings journey from instruction through to move-in, whilst supporting resident retention, tenancy management, check-outs and deposit returns.
Working closely with our Administration, Maintenance, Block Management and external Viewing Representatives, you will ensure an outstanding customer journey that reflects the high standards expected within the Build to Rent sector.
As the business grows, you will have the opportunity to develop the lettings function, implement new processes and build your own team.
This is a varied, fast-paced role requiring someone who is organised, commercially minded, proactive and passionate about delivering an exceptional resident experience.
Key Responsibilities Lettings
- Manage the full lettings cycle across a portfolio of residential and Build to Rent apartment developments.
- Deliver successful lease-up strategies for new developments and maintain strong occupancy levels across existing schemes.
- Advertise available apartments across property portals and marketing channels.
- Respond to tenant enquiries and qualify prospective applicants.
- Arrange viewings with our network of Viewing Representatives.
- Conduct virtual and in-person viewings where required.
- Negotiate offers and agree tenancy terms.
- Prepare and issue letting instruction/order forms.
- Work closely with the Administration Team throughout referencing and application progression.
- Coordinate move-in dates and ensure all compliance documentation is completed prior to occupation.
- Minimise void periods and maximise occupancy, rental income and resident retention.
- Monitor competitor developments, market rents and incentives to ensure schemes remain competitive.
Resident Experience
- Deliver a first-class customer experience throughout the resident journey.
- Build strong relationships with residents, landlords and investors.
- Support resident retention through proactive communication and tenancy renewals.
- Work collaboratively with the Maintenance and Block Management teams to resolve resident issues promptly.
- Identify opportunities to enhance customer satisfaction and improve resident engagement.
Tenancy Management
- Act as the primary point of contact for landlords and tenants throughout the tenancy.
- Arrange routine property inspections and review inspection reports.
- Coordinate tenancy renewals where appropriate.
- Review check-out reports and negotiate deposit deductions fairly and professionally.
- Process tenancy deposit returns in accordance with current legislation.
- Maintain accurate tenancy records and ensure ongoing compliance.
Asset Performance
- Monitor occupancy levels, leasing performance and void periods.
- Assist with rental pricing recommendations based on local market conditions.
- Produce regular lettings, occupancy and performance reports for management and investors.
- Support strategies to maximise rental income and long-term asset performance.
Department Management
- Take ownership of the lettings department and continually improve processes and efficiencies.
- Ensure compliance with current lettings legislation and company procedures.
- Develop best practice across the lettings function.
- Support the future recruitment and development of the lettings team as the business expands.
About You
We're looking for someone who enjoys taking ownership, thrives in a customer-focused environment and is passionate about delivering an outstanding resident experience.
You'll be confident managing the full lettings lifecycle whilst balancing commercial performance with excellent customer service.
Previous Build to Rent experience would be highly advantageous, although applicants from a strong residential lettings background looking to move into the BTR sector are encouraged to apply.
Essential Requirements
- Previous experience as a Lettings Manager, Senior Lettings Negotiator, Property Manager or similar.
- Strong understanding of the full lettings lifecycle.
- Experience progressing tenancy applications and coordinating move-ins.
- Experience reviewing check-outs and negotiating tenancy deposit returns.
- Good understanding of current residential lettings legislation.
- Excellent communication, negotiation and customer service skills.
- Strong organisational and time management skills.
- Commercial awareness with a focus on occupancy and customer satisfaction.
- Ability to manage multiple developments and priorities.
- Full UK driving licence.
Desirable Requirements
- Previous Build to Rent (BTR) experience.
- Experience with lease-up of new residential developments.
- ARLA Propertymark qualification (or working towards).
- Experience managing apartment portfolios.
- Knowledge of resident engagement and retention strategies.
- Experience using property management or CRM software.
- Understanding of investor reporting and portfolio performance.
- Knowledge of tenancy deposit dispute resolution.
