About us

About the Role

Although initially a 3-day per week role, this a great opportunity for someone who enjoys variety, people, and making things run smoothly behind the scenes.

As our part-time Office Administrator, you’ll be the friendly and reliable point of contact for both staff and clients. You’ll help keep the office organised, support day-to-day operations, and play a key part in creating a positive experience for everyone connected to our service.

What You’ll Be Doing

- Being the first point of contact for staff, partner and client queries — always approachable, helpful, and professional

- Building positive relationships with care staff, service users, and families

- Helping resolve day-to-day issues and ensuring everyone feels supported

- Reporting to the Operations Manager, supporting the Director, Registered Manager, Lead Carers and the office team to provide a safe, efficient and effective service

- Maintain up to date and accurate calendar and sharepoint records

- Managing general administration and ensuring systems are organised and up to date

- Maintaining accurate records and documentation and ensure they are appropriately stored

- Managing PPE and uniform stock levels

- Helping to maintain and update simple and effective procedures and templates

- Looking for ways to improve efficiency and make life easier for the team

- Supporting compliance activities and keeping everything in good order

- Assisting with recruitment activities, onboarding, and staff records (including holiday administration), as required

- Helping responsible staff to organise training, inductions, and team activities

- Supporting a positive, inclusive workplace culture and ensure staff are recognised for their contributions

- Support effective communication to staff through WhatsApp and other channels, including staff surveys

- Support carer recruitment activity through online channels

- Supporting local marketing and community engagement activities

- Support our survey activities

- Assisting with social media and promoting our services

- Helping us grow our presence in the local community

About You

We’re looking for someone who is organised, approachable, and genuinely enjoys helping others.

You don’t need to come from a care background, but you should share our values and be comfortable working in a people-focused environment.

You will likely have:

- Experience in an administrative or coordination role

- Strong organisational skills and attention to detail

- Confidence in communicating with a wide range of people

- The ability to manage your time and priorities independently

- Confidence in using a variety of IT systems

It would be great if you also have:

- Experience in care, healthcare, or a community-based setting

- An understanding of basic HR processes

- An interest in marketing or community engagement
