Job Summary

Job title: Installations Coordinator

Location: Crown East, Worcester

Salary: £35k - £40k per annum DOE (plus company bonuses)

Hours: 07:30 or 8:00 – 16:45 Monday to Friday, (TBC

Wellbeing Group is a fast-growing, family-run business supplying coffee machines, boiling taps and drinking water dispensers to offices and workplaces across the UK. Who are we looking for?

We are looking for a highly organised, proactive and professional Installations Coordinator to join our Operations team. This is a key role within the business, responsible for managing the end-to-end coordination of equipment installations and ensuring every installation is delivered smoothly, efficiently and to the highest standard.

This role is ideal for someone who thrives in a fast-paced environment, enjoys juggling multiple priorities, is a strong communicator, and takes pride in delivering excellent customer experiences while working closely with internal teams and external stakeholders.

Responsibilities and Duties:

The candidate would need to assist the team effort by completing the following tasks:

Installation Coordination & Project Management

Manage the onboarding of all installations from order handover through to successful completion.
Act as the main point of contact between clients, contractors, engineers and internal departments for all installation-related matters.
Coordinate installation projects nationwide, ensuring deadlines and installation targets are met.
Liaise with clients and their contractors to confirm site readiness prior to installation, minimising aborted or failed installs.
Work closely with Sales, Operations and PDI teams to ensure machines are prepared and scheduled correctly.

Operational Excellence

Carry out pre- and post-installation debriefs with engineers to ensure quality standards are met.
Ensure all installation documentation and internal systems are accurately updated.
Maintain oversight of equipment stock levels to support installation demand.
Proactively identify and resolve potential issues to keep installations on track.

Communication & Collaboration

Be proactive in maintaining clear, professional communication with customers, suppliers and internal teams.
Provide regular updates to customers regarding installation progress and scheduling.
Support continuous improvement initiatives to enhance installation processes and customer experience.

Skills, Experience & Attributes:

To be successful in this role, you will ideally have:

At least 12 months’ experience working in a deadline-driven or project-based environment.
Strong organisational skills with the ability to manage multiple priorities simultaneously.
Excellent communication skills, both written and verbal.
A proactive, solutions-focused mindset with strong problem-solving ability.
Ability to work under pressure and adapt to changing priorities.
Confidence working independently as well as part of a collaborative team.
Good IT skills, including Microsoft Outlook, Word, Excel and Teams.
Experience using CRM or scheduling systems (desirable).
A positive attitude, high attention to detail and a strong work ethic.
A professional appearance and commitment to upholding company values.
