R1CH Private Office is seeking a highly organised, discreet, and operationally capable Office Manager / Facilities Manager to oversee the smooth running of a large private-office environment.
This role is responsible for the day-to-day management of the office, facilities, suppliers, contractors, maintenance, compliance, presentation standards, office services, and internal operational support.
The successful candidate must be capable of maintaining a calm, professional, well-managed environment that reflects the standards expected by UHNW individuals, family offices, senior operators, trusted advisers, and private-office personnel.
This is not a standard office administration role. It requires discipline, discretion, technical awareness, strong supplier control, and the ability to ensure the office operates without visible friction.
Key Responsibilities
- Manage the day-to-day running of a large private-office environment.
- Take responsibility for office presentation, cleanliness, readiness, safety, maintenance, and operational standards.
- Oversee facilities management, building services, contractors, suppliers, and service providers.
- Coordinate planned preventive maintenance and reactive repairs.
- Manage office access, keys, security procedures, visitor handling, and controlled entry arrangements.
- Ensure meeting rooms, reception areas, workspaces, private rooms, and communal areas are always prepared to the required standard.
- Coordinate cleaning, waste management, supplies, refreshments, stationery, office equipment, and general office services.
- Liaise with landlords, managing agents, building management, contractors, engineers, and external providers.
- Maintain records for maintenance visits, service reports, contractor attendance, compliance checks, and facilities-related documentation.
- Support health and safety procedures, fire safety arrangements, first aid provision, risk assessments, and statutory compliance where required.
- Manage office moves, furniture requirements, storage, equipment setup, and internal workspace planning.
- Ensure IT, phones, printers, meeting room technology, Wi-Fi, access systems, and office equipment are working correctly, escalating issues where required.
- Monitor office expenditure, supplier invoices, service agreements, and facilities-related costs.
- Support senior leadership and private-office teams with operational requirements.
- Identify issues early and resolve them before they affect the office, staff, clients, or visitors.
- Maintain absolute discretion in relation to all office activity, personnel, visitors, and private client matters.

- Good understanding of office operations, building services, health and safety, fire safety, access control, and workplace compliance.
- Experience working in a high-standard, client-facing, confidential, or senior-level environment.
- Ability to manage reactive issues calmly and quickly.
- Experience handling budgets, invoices, supplier agreements, and office service costs.
- Strong organisational and administrative capability.
- Experience supporting senior leadership, principals, or executive teams is desirable.
