As the practice continues to grow, we're looking for an Accounts & Client Services Coordinator to work closely with the Managing Director and our accountants.
This is a varied and responsible position combining client management, accounts preparation support, practice administration and organisational support to the Managing Director.
We're looking for someone who enjoys taking ownership, keeping things organised and making sure things actually get done.
For the right person, there is significant opportunity to develop the role and take on increasing responsibility within the practice as the business grows.
The Role
You'll play an important role in looking after our limited-company clients and keeping the day-to-day operation of the practice organised.
A significant part of the role involves preparing client information and records for our accountants. You'll review what clients provide, identify missing or inconsistent information, resolve queries and make sure the accountant has everything needed to complete company accounts and corporation tax work efficiently.
You'll also be one of the main points of contact for clients and provide day-to-day organisational and administrative support to the Managing Director.
This isn't a traditional PA role, but there will be an element of helping to organise priorities, following things up and taking administrative tasks off the Managing Director's desk.
Responsibilities will include:
- Managing client enquiries, telephone calls and the limited-company inbox
- Onboarding new clients, including AML checks, engagement documentation and maintaining accurate client records
- Maintaining regular client contact and chasing records and information
- Reviewing and organising bookkeeping records and preparing information, working papers and supporting schedules for our accountants
- Assisting with basic accounting adjustments and accounts preparation where appropriate
- Dealing with Companies House, HMRC, company formations and other routine practice administration
- Monitoring deadlines, outstanding work and credit control
- Maintaining our practice-management systems and ensuring client information is accurate and up to date
- Providing organisational and administrative support to the Managing Director and wider practice
About You
We're looking for someone who is highly organised, accurate, personable and dependable.
You'll have numerous clients, deadlines and pieces of work moving at the same time, so being able to organise and prioritise your workload without needing constant supervision is important.
Attention to detail is essential.
You'll regularly handle financial records, client information and data that other members of the team rely upon. We need somebody who checks their work, notices when something is missing or doesn't make sense and follows things through to completion.
You'll be trusted to take ownership and use your initiative, but equally, we'd much rather you ask a question than make an assumption.
This is also a very client-facing position.
We're a friendly and approachable practice and want our clients to feel looked after. You'll communicate with clients every day by telephone and email, so your communication needs to be warm, professional and personable, including when you're chasing information or resolving a problem.
Accountancy Knowledge
You'll need a good practical understanding of bookkeeping and basic accounting.
You don't need to be a qualified accountant or independently prepare company accounts, but you do need enough accounting knowledge to understand the records you're reviewing and prepare them properly for our accountants.
You should be comfortable with areas such as:
- bookkeeping and double-entry principles;
- bank reconciliations;
- profit and loss accounts and balance sheets;
- basic journals and accounting adjustments; and
- reviewing financial records and identifying missing or unusual information.
AAT qualifications or current AAT study would be beneficial, but practical knowledge and experience are more important to us than a particular qualification.
What We're Looking For

- Good practical bookkeeping/accounting knowledge
- Excellent organisational skills and attention to detail
- Strong written and verbal communication skills
- Confidence dealing directly with clients
- Good general IT and spreadsheet skills
- The ability to manage multiple tasks and deadlines
- The confidence to take ownership and use initiative
- Good judgement about when something needs to be checked or escalated
- A reliable, conscientious and friendly approach to your work
Previous accountancy-practice experience would be particularly useful, as would experience with Xero, QuickBooks, FreeAgent, Dext, Companies House, HMRC systems, client onboarding or practice-management software.
You don't need to tick every box. If you have a good accounting foundation, excellent organisational skills and the right approach to clients and your work, we'd like to hear from you.
How We Work
We're looking for somebody who can take ownership without making assumptions.
You'll be trusted to manage tasks and communicate directly with clients, but nobody expects you to know everything.
Knowing when to stop and ask a question is a strength, not a weakness.
Likewise, completing a task doesn't simply mean getting it off your list. We want somebody who thinks about whether the information is complete, whether it makes sense and whether the next person has everything they need to do their job.
A lot of the work you'll do will ultimately be passed to one of our accountants for completion.
The aim is to make their job easier, not simply move the task along.
Hours & Location
This is a full-time, permanent position working 40 hours per week, Monday to Friday.
We're happy to offer some flexibility around working hours.
Your normal start time can be agreed between 8:00am and 9:00am, with eight working hours each day. Your corresponding finish time and either a 30-minute or one-hour lunch break can be agreed to suit both you and the business.
For example:
- 8:00am–4:30pm with a 30-minute lunch; or
- 8:30am–5:30pm with a one-hour lunch.
The position is based at our office in Bewdley, Worcestershire.
This is a fully office-based position. Hybrid and home working are not available for this role.

One Final Thing...
We're not looking for somebody who already knows everything.
We are looking for somebody who cares about getting things right.
If you're the sort of person who notices when information is missing, checks rather than assumes, keeps track of what needs doing, follows things through and communicates with clients in the way you'd want to be communicated with yourself, you'll probably fit in very well here.
