We are looking for an exceptional Luxury Front of House & Client Experience Coordinator to become the face of our clinic. This is far more than a reception role—you will play a vital part in creating an outstanding client journey from the moment a client first contacts us through to the completion of their treatment programme.

The Role

As our Luxury Front of House & Client Experience Coordinator, you will be responsible for delivering an exceptional experience for every client visiting the clinic while supporting the smooth day-to-day operation of our busy practice.

Reporting directly to the Clinic Manager, you will act as the first point of contact for clients and visitors, ensuring every interaction reflects the premium standards and reputation of Dr Joney De Souza Clinic.

Key ResponsibilitiesDeliver an Outstanding Client Experience

Welcome every client with warmth, professionalism and genuine enthusiasm.
Deliver a true five-star luxury experience from arrival through departure.
Prepare refreshments and ensure clients feel relaxed and cared for.
Build strong relationships with new and existing clients.

Client Journey Management

Manage appointment bookings, amendments and cancellations.
Coordinate consultations and treatment journeys.
Register new clients and maintain accurate client records.
Guide clients through electronic consent documentation.
Apply topical numbing cream prior to treatments where appropriate.
Ensure all client records remain accurate, complete and confidential.

Reception & Administration

Answer telephone and email enquiries professionally.
Respond promptly to online enquiries.
Manage incoming correspondence.
Process payments and issue receipts.
Reconcile daily takings.
Prepare prescriptions for collection where appropriate.
Maintain electronic filing systems and client records.
Complete end-of-day administrative procedures.

Clinic Operations

Ensure reception and waiting areas remain immaculate.
Maintain clinic literature and displays.
Support retail skincare sales and stock control.
Assist the Clinic Manager with operational and administrative duties.
Help identify opportunities to continually improve the client experience.

About You

You are someone who genuinely enjoys looking after people and takes pride in delivering exceptional service.

You will have experience in one or more of the following:

Luxury aesthetics
Cosmetic or medical clinics
Five-star hospitality
Luxury hotels
Concierge
Guest Relations
Premium retail
Private healthcare

You will also demonstrate:

Excellent communication and interpersonal skills
A polished and professional appearance
Strong organisational and administrative ability

Essential Skills & Experience

Previous Front of House, Reception, Guest Relations or Client Experience experience within a luxury customer-focused environment.
Excellent written and verbal English.
Strong administrative and computer skills.
Ability to prioritise multiple tasks.
Professional telephone manner.
Passion for delivering outstanding customer service.
